Position: HR & Admin Assistant
Location: Amran
Grade: 5
Contract Length: till Jun (with possibility to renewal)
The Opportunity:
The HR & Admin Assistant will be responsible for providing HR & Admin support such as filing personnel documents, processing leave requests, ensure the smooth running of the office and ensuring compliance with administrative guidelines.
KEY AREAS OF ACCOUNTABILITY:
HUMAN RESOURCES :
- Ensure that personnel files are complete and updated as per Save the Children HR filing system.
- Follow up the staff attendance sheet and maintain the records.
- Perform other related duties as required. Assist in advertisement of positions
- Responsible for advising recruiting managers on writing job descriptions, Vacancy Authorisation Forms and interview questions. Responsible for advertising o recruitments, taking part in interviews and carrying out pre employment checks.
- Communicate payroll actions to the Area Office HR accurately and on time.
- Ensure that HR-related policies and procedures are shared across the field and are understood and complied with.
- Make appointments with the candidates;
- Assist in Organizing recruitment tests;
- Assist in keeping recruitment file updated.
- Comply with all relevant Save the Children policies and procedures with respect to child protection, health and safety, equal opportunities and other relevant policies.
- Ensure that confidentiality related to staff issues and HR matters is upheld according to the best practises of Save the Children.
- Follow up the handover for the leave staff.
- Any other tasks given to.
ADMINISTRATION
- Assist in updating the Amran office inventory list.
- Assist in running the Admin store (Stationery, office supplies, cleaning materials, generators spare parts, furniture).
- Assist in preparing the day-to-day activities by providing office needs, supporting program staff.
- Assist in filing and archiving Admin documents (lease agreements, lawyer documents, inventory, monthly reports, admin staff leaves, property tax, framework agreements etc.).
- Assist in preparing the monthly reports on Amran Rents, hotel booking, translation, Admin store etc.
- Assist in preparing the monthly payment requests for vendors (rents, translation, hotels, generator maintenance and others.
- Assist in following up on the daily office keepers’ work and needs.
- Assist in following up on the daily gardener’s work and needs.
- Assist in preparing the timesheets of office keepers and gardeners as well as their different kinds of leave.
- Perform other duties assigned by the Office Program Manager

Qualifications and Experience:
- University degree preferably in management.
- HR management experience. INGO experience preferred.
- Excellent computer skills, Microsoft Office Suite and Microsoft Windows OS.
- Excellent written and spoken in English and Arabic.
- Good organizational skills.
- Should have interpersonal skills.
- High integrity and the ability to work with confidential information.
- The ability to multi-task and deal with sensitive issues with diplomacy and discretion
