Job Summary:
The role TYPIST AND ADMINISTRATIVE PUBLIC RELATIONS OFFICER is responsible for efficient and accurate processing of visa applications and related services through direct system handling.
The role is responsible to apply labor law principles and immigration guidelines to ensure optimal outcomes for each application.
The role is required to actively stay up to date on visa processing procedures, system enhancements, and maintain advance technical literacy.
The role involves advisory responsibilities by providing processing guidelines through practical application of industry knowledge, local labour laws and immigration regulations to optimize approval rates and ensure the best possible outcomes.
The role involves providing standard industry solutions and more for complex cases and acting as a liaison between related parties. This includes coordinating with support personnel such as Public Relations Officers, Messengers and service partners.
The role requires staying up to date with the latest visa processing updates by actively seeking and participating in government-sanctioned training programs. Additionally, it involves maintaining advanced familiarity with various government portals and their continuous evolution to be a step ahead of client’s needs.
Key Responsibilities:
Visa Application Processing:
· Compliance Assurance: Verify that all process and documents adhere to government regulations and company policies, maintaining the highest standards of compliance.
· Quality Control: Conduct thorough reviews of all applications to ensure completeness and accuracy before submission.
· Timely Processing: Manage and prioritize tasks to ensure timely processing of jobs, meeting all deadlines and service level agreements.
· Communication: Effectively communicate with colleagues on process and system updates especially those that impact workflow and knowledge banks. Notify on priority any issues and provide available industry-standard resolutions. If required, escalate and consistently follow-up until resolved. Proactively participate in focused discussions aimed at finding continuous streamlining existing processes.
· Letter Writing and General Translation: Draft, edit, and proofread internally prepared documents submitted in support of visa applications and related services. Provide general translation between English and Arabic.
Data Entry and Records Management:
· Accurate Data Entry: Enter and maintain precise and up-to-date records of all visa-related documents, ensuring data integrity and accuracy.
· Record Maintenance: Record, maintain and on time submission of expense per company protocol and generate statements from portals as required by clients and accounts.
· Document Organization: Systematically organize and manage documents based on company protocol including use of naming convention to ensure process uniformity.
· Compliance and Confidentiality: Adhere to data protection regulations and company policies to maintain the confidentiality and security of all records.
· Continuous Improvement: Regularly review and update data entry and records management processes to enhance efficiency and accuracy.
Government Portal Usage:
· System Proficiency: Utilize all government systems and other relevant portals to efficiently process all types of visa applications and updates.
· Data Verification: Thoroughly verify all data entered into government portals to ensure accuracy and compliance with regulatory requirements.
· Document Upload: Accurately upload all required documents to the appropriate government platforms, ensuring that each submission meets the necessary criteria to increase approval rate.
· Process Optimization: Continuously monitor and optimize the use of government portals to streamline visa processing and improve overall efficiency.
· Regulatory Compliance: Stay informed about updates and changes to government portal systems and regulations to ensure ongoing compliance.
· Issue Resolution: Promptly address and resolve any issues or discrepancies that arise during the use of government portals, maintaining smooth and uninterrupted processing. Follow established escalation points, if support is required.
· Training and Support: Actively participate in authority-sanctioned trainings. Provide training and support to colleagues on the effective use of government portals, fostering a collaborative and knowledgeable team environment.
