The purpose of the role is to support the supply chain teams, as well as external and internal stakeholders, including other departments, clients, consultants, and management. This role acts as the first point of contact between external stakeholders and the procurement team. Additionally, the role aims to enhance communication and collaboration within the supply chain, fostering positive relationships with both suppliers and clients.
The role includes but is not limited to:
Operational Excellence:
Generating and processing purchase orders for utilities, fuel, and other shared service requirements accurately and in a timely manner. This includes creating purchase orders based on requisitions, verifying details, and ensuring proper documentation
Performing buying duties when necessary
Tracking the status of requisitions, contracts, and orders using automated or manual files
Assembling contract file information and entering purchase order or contract data into a management information system
Replacing purchasing executives on leave, if required
Vendor Experience:
First point of contact with walk-in vendors who would like to meet members of the procurement team
Reaching out to new potential vendors and inviting them to register at the EFS Supplier portal, based on instructions from the buyers or internal stakeholders
Assisting suppliers in Supplier Portal registration
Administering supplier performance reviews, inviting suppliers and stakeholders to participate in the review
Communication & Collaboration:
Assisting Procurement department team members in documentation creation and approvals (credit applications, bid exemption, advance payment requests, etc.)
Maintaining knowledge of all organizational and governmental rules affecting purchases, and providing information about these rules to organization staff members and to vendors
Any other work that arises or is assigned by management
Comply with all processes and procedures (Human Resources, HSEQ, Finance, Information Technology, Procurement, Operations) which include compliance with all applicable rules and regulations of the local labor law
Requirements
High school diploma, or equivalent qualification
1-2 years of experience in Facilities Management / Projects / Technical Consulting / Real Estate Management / Community Management / Construction
Previous Role: Internships, co-op programs, or entry-level positions in supply chain or related fields
Understanding of end-to-end supply chain processes: procurement, production, transportation, warehousing, and distribution
Effective time and work pressure management skills
Ability to handle assigned tasks and assist in team coordination
Basic communication and interpersonal skills for collaboration
Willingness to learn and grow in stakeholder interactions, including team support
