Job Description

A. JOB PURPOSE (not limited to)


Deliver operational Key Performance Indicators and lead the Supermarket operations on a divisional basis, and execute plans to deliver the premiere shopping experience to customers. In addition, is responsible for developing and maintaining a working environment where associates and managers have opportunity to contribute and grow while delivering company sales and profitability targets.

 

B. PRINCIPLE ACCOUNTABILITIES

 

B.1 Sales & Profit:

  • Participate and agree with the Procurement and marketing departments the sales growth and profitability strategy set by the management.  
  • Participate in the budgeting process and agree on targets for the business. Based on the agreed targets, receive feedback from the different functions, decide on the operational plan for the stores and monitor adherence to the plan so as to achieve the agreed budgets together with the other departments.

 

B.2 Store Operations:

  • Oversee all aspects of store operations and ensure delivery of high in-store standards. This will include store coverage, customer feedback, merchandising standards and implementation of in-store activities and promotions etc.
  • The Operations Manager will receive regular reports from store supervisor’s about sales performance and trading related issues with the objective of giving specific feedback to line manager.  
  • He is responsible for controlling operating costs and expenses, responding to market dynamics, achieving highest level of customer service standards & implementing corrective action when and where required.

 

B.3 Stock Management:

 

  • Define and set store stock holding targets. Ensure that product ranges are correctly displayed in-store and that there is good communication between the buying team and stores.
  • Provide timely feedback on both over-stocks and shortages to the buying team.

 

B.4 Inventory Management:

  • Supervise and ensure that stores adhere to “store stock holding targets”, inventory levels and the correct procedures relating to product handling/storing.  
  • Ensure that all processes & methods for scanning, storing and the delivery of merchandise are followed. Review and suggest process improvements to the line manager by setting targets per each department and achieving them.

B.5 Human Resource Management:

 

  • Work closely with the HR department to implement the recruitment and staffing plan for all stores as per the agreed manpower budget.
  • Ensure that staffing requirements for peak trading are adequately planned and monitored.  
  • Review the development needs of staff and store management and ensure training plans are implemented.
  • Perform mid and annual appraisals. Support all new joiners to the business with the required training and job support to ensure sound operational performance.

 

B.6 Policies & Procedures  

 

  • Develop store procedures in conjunction with the store teams, head office, line manager and ensure smooth implementation and compliance checks.
  • Review, revise (where necessary) and/or amend the standard operating procedures as per business requirement and in line with Group Internal Audit after obtaining approval from line manager.  
  • Develop procedures for any new territories in line with group and local legislation and ensure that any approved procedures are supported with training for the Administration Executive and store teams.
  • Review all store internal audit reports and implement necessary corrective action required.  

 

B.7 Communication:

 

  • Prepare monthly/quarterly feedback and present reports to the management team regarding sales and margin performance of stores, marketing information and analysis of opportunities as well contributing to the development of short & long term strategies for the brand.

 

 

 

B.8 Administration & Controls

 

  • Monitor the administration office activity in all Istanbul store locations and ensure that company policies and standard operating procedures are being adhered to. Follow a daily morning routine visits to the stores on daily basis and review cost , expenses and sales report  for visited branches   every day, analyze numbers and plan to improve the weaknesses with the co-operations of other departments.
  • Support the store management teams by ensuring there are fully trained and competent users on store operating systems to avoid discrepancies and risk to the business.
  • Assist the Branch Supervisor and Admin to ensure all till discrepancies are thoroughly investigated for further action in case of any dispute.
  • Ensure all stock takes and physical inventory counts are prepared and  carried out as per the defined process and or standard operating procedure and that each store is carried out smoothly from start to end.
  • Assist stores with the development and implementation of stock loss action plans.
  • Insure all legal documents & related to operating any branch are valid and up to date. 

 

B.9 Process & Compliance

 

  • Set and review of local consumables to ensure stores are in line with budget parameters at all times.
  • Monitor all locations to ensure efficient archiving practices in line with Group Internal Audit requirements.
  • Support the store teams by ensuring all Health, Safety and Security standards are being achieved in order to minimize risk to the business, employees, customers and suppliers.
  • Support the business by streamlining communication and by driving cost savings.

 

 

C. JOB CONTEXT

 

Operating Environment:

 

·        The job requires a lot of field work visiting stores with some office duties (1-2 hours in the office/week).

·        Daily walks in the stores.

·        On a daily/weekly basis reviews P&L reports using a PC/Laptop.

·        Requires the job holder to be available any time (on call).

·        Communication and influencing change is required.

·        Require weekly visit to Head Office to attend schedule meetings with the management and conduct a review meeting in with Branch Supervisors/Asst. Supervisors, Admin is required. 

 

Communication & Working Relations:

 

·        Internally:

                         Communicates with people in the stores across regions.

              Required to maintain contact with members in Purchase, Finance, HR, Marketing and top suppliers.   

 

D. DECISION MAKING RESPONSIBILITIES:

 

·        Variable; differing situations requiring the identification and selection of solutions through the application of acquired knowledge.

·        Thinking within broad company policies, principles and objectives, under general direction.

 

 

E. OTHER

 

New Store Development/Refurbishment & Business Development:

 

 

To supervise and co-ordinate all aspects of new store openings and refurbishments ensuring that agreed standards are achieved, municipality regulations are adhered to, budgets are met and the project plan is prepared with timescales completed. The Operations Manager will ensure that the project runs on schedule, in line with agreed specifications and that progress is monitored.
