1. Facilities’ Operations Management: Take full ownership of the operation & maintenance of all facilities and infrastructure within the designated area.
2. Contractor Management: Efficiently lead and manage service providers, vendors, and suppliers.
3. Emergency Response and Preparedness: Develop, monitor, and regularly update comprehensive emergency response plans tailored to the specific facilities in the area.
4. Safety and Compliance: Enforce strict adherence to safety regulations and protocols across all facilities in the area. Report HSE findings and review associated near miss, incidents / Accident reports on time.
5. Quality Control: Lead in external audits or regulatory inspections by providing documentation and insights related to the facility's compliance history and status. Ensure that all required records are readily accessible.
6. Team Leadership: Assign tasks, set performance expectations, and conduct regular performance evaluations to ensure team effectiveness.
7. Customer Relations: Maintain professional and positive relationships with facility occupants, tenants, and stakeholders within the area. Address tenant inquiries, concerns, and service requests promptly and professionally.
8. Budget Planning and Control: Collaborate in the development and management of the annual facilities management budget for the area. Identify opportunities for cost savings and operational efficiency improvements.
9. Inventory Management: Manage the inventory of assets, equipment and materials owned by DPW within the area.
10. FM Project Management: Manage all FM projects within the specified area from RFQ to job award and overview the execution of all FM Projects within the specified area taking into consideration all technical and commercial aspects
11. Technical Documentation and Reporting: Maintain records of all maintenance activities, service histories, technical reports, incident reports equipment manuals, and facility documentation. Utilize computerized maintenance management systems (CMMS) for efficient data recording and
task management.
12. Continuous Improvement and Innovation: Stay at the forefront of industry best practices, emerging technologies, and sustainability trends in facilities management. Identify and implement innovative solutions to enhance energy efficiency, sustainability, and overall operational effectiveness within the area.
Associated Documents to be delivered:
a. Technical Library: O&M Manual, as built drawings, Service records, technical reports, incident reports, abnormality report with associated action plan.
b. Weekly performance report: To summarize the weekly activities, challenges, way forward and lessons learned.
c. Monthly performance report: To summarize the operational & maintenance activities within the area, service providers performance, challenges, way forward, action plan, areas of improvement.
d. Monthly Updated Asset Register: Including tagging progress and findings.
e. Monthly Inspection report: Carried personally by the Assistant manager to cover 50% of the assets within one year.
f. Monthly asset condition report: Including asset remaining useful life.
g. Monthly Asset life cycle tracker: Including associated actions and progress.
