A multinational law firm is recruiting a native Tagalog speaking Secretary to support a lawyer with administration, coordination, and secretarial work. Job Responsibilities
Manage scheduling of lawyers and booking meeting rooms etc.
Miscellaneous general administration work such as filing, organizing office supplies.
Handling invoices.
Managing Lawyer's work time by utilizing an internal system.
Coordinate with external companies to run the office smoothly such as rental car companies etc.
Coordinate with Tokyo secretaries, mainly to handle office expenses.
Prepare and proofread documents, contracts, and correspondence.
Manage and organize files, both physical and digital.
Schedule and coordinate meetings, court dates, and client appointments.
Answer and direct phone calls, take messages, and handle client inquiries.
Maintain and update client records and case management systems.
File documents with courts and government agencies.
Handle office correspondence and communications.
Perform general office duties such as ordering supplies and managing office equipment
Qualifications:
Proven experience as a legal secretary, administrative assistant, or similar role
Familiarity with legal procedures, terminology, and court filings
Proficient in Microsoft Office (Word, Excel, Outlook)
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Ability to handle confidential information with discretion
