Job Description

The Retail Operations Executive will play a vital role in supporting the Retail Operations Project Manager in the seamless opening and refurbishment of new boutiques, as well as in the ongoing optimization of retail operations. This position will focus on facilitating communication, enhancing operational efficiency, and assisting with project management tasks.


 (Please note this role is until December 2025)



Key Responsibilities:



Support in Boutique Openings and Renovations:



  • Assist in coordinating project timelines and ensure all departments and suppliers are aligned during new boutique openings and refurbishments.


  • Support in managing administrative processes for refurbishments, new openings, and day-to-day operations to ensure seamless boutique functionality.



Backoffice Operations Management:



  • Collaborate with the Retail Operations Project Manager on regular PLV forecasts, ensuring alignment with market vision, deadlines & tracking of the orders.


  • Aid in the development and execution of gifting and sampling strategies for the retail network.


  • Support the follow up of the novelty distribution process for each POS & the stock optimization process.



Operational Support:



  • Help organize and conduct annual inventories in boutiques.


  • Provide ongoing support to VM Ambassadors to ensure the brand image on the POS.


  • Assist in the fashion pieces tracking and follow up process to create more clarity for the future orders.


  • Aid to establish a structured process framework to support partner markets in forecasting, ordering, and operational activities, ensuring efficiency and alignment with brand standards.



Communication and Reporting:



  • Foster strong communication and collaboration between the Retail Office and field teams, as well as other departments including IT, Learning, Commercial, and Marketing related to the Retail business. 


  • Proactively contribute to regular qualitative and quantitative reporting to the Retail Operations Project Manager.



Administrative Duties:



  • Assist in the organization of the uniforms ordering process and other administrative tasks as needed.


  • Participate in regular meetings with the Retail Project Manager and contribute ideas for continuous improvement in retail operations.




What you bring with you:



  • Experience in luxury retail operations, preferably with experience in different point-of-sale activities.Positive and proactive mindset with a strong hands-on approach to problem-solving and operational tasks.


  • Excellent communication skills, both verbal and written, with fluency in English (additional languages are a plus).


  • Strong organizational and multitasking abilities to manage multiple projects and deadlines efficiently.


  • High level of proficiency in MS Office, particularly Excel, PowerPoint, and Outlook.


  • Detail-oriented and structured approach to administrative and operational processes.


  • Flexibility and adaptability to thrive in a fast-paced and dynamic retail environment.


  • Enthusiasm for luxury retail, with a passion for maintaining brand excellence in boutique operations
