Pre-Award Grant Management:
• Assists researchers with the technical aspects of applications submissions (mainly international/NIH applications).
• Compile a weekly newsletter of all grant calls for applications and available funding to be distributed.
• Provides the following services during the pre-award application phase.
• Compile the budget with the researcher.
• Provide advice on the budget and other technical issues during submission.
• Assist with preparation and submission of research protocols.
• Complete the application form in certain instances.
• Contract negotiation and finalization.
• Set timelines for the timely submission of the application
• Assist Principal Investigators and researchers with the acquisition and management of (external mostly national and international) research grants.
Budgeting and Financial Management:
• Assist researchers in developing comprehensive and compliant grant budgets, ensuring alignment with funding agency guidelines and institutional policies.
• Monitor project expenditures to ensure alignment with the approved budget and identify and address any discrepancies.
• Prepare and submit financial reports and invoices to funding agencies, ensuring accuracy and adherence to reporting requirements.
Post-Award Administration:
• Facilitate the setup of awarded projects, coordinating with different departments to ensure proper
fund allocation and compliance with grant terms.
• Ensure all grant activities comply with institutional policies and funding agency regulations.
• Maintain detailed records of grant activities, including contracts, agreements, financial reports, and
communications with funding agencies.
• Prepare for and support internal and external audits, ensuring all necessary documentation is
available and compliant.
• Overall financial compliance control of project.
• Compilation of monthly financial management reports for the Principal Investigator.
• Compilation of financial reports to be submitted to the sponsor in terms of the contract.
• Assist Principal Investigator with compliance requirements (e.g. reporting, cost principles of the
funder, auditing etc.).
• Advise and support principal investigators with regards to the sponsor’s audit requirements.
Communication and Coordination:
• Serve as the primary point of contact between researchers, funding agencies, and Finance Department, facilitating clear and effective communication.
• Provide regular updates to principal investigators and research teams on grant status, and financial performance.
• Collaborate with interdisciplinary teams across the institution to promote a cohesive approach to grant management and shared resources.
• Interface between researchers, MBRU/DH administration, and funding agencies or external
sponsors, providing assistance to faculty in the identification of funding opportunities, submission of proposals and applications, and financial award management.
Process Improvement:
• Participate in the development and revision of institutional policies and procedures related to grants and grant management.
• Identify and implement improvements in grant management processes to enhance efficiency and compliance.
Developmental Responsibilities
• Sets performance objectives to the team while ensuring that the operational plan of the department will be achieved
• Leads, manages, evaluates performance, and motivates the employees of the section while ensuring that the overall objectives of the Department are met
• Monitors the use of the Department’s resources and finding ways to utilize resources effectively
• Conducts knowledge sharing sessions to transfer work related knowledge and skills acquired in the functional area
• Ensures that all new employees in the section are thoroughly inducted in the responsibilities by implementing the on-boarding program.
• Stays current with best practices and trends in the Research and Graduate Studies, actively participating in relevant conferences and professional development
• Bachelor’s degree in business administration, Finance, Public
Administration, or a related field.
Certifications /Professional Qualifications:
• Master’s degree in business administration, Finance, Public Administration, Research Administration, or a related advanced program
• Formal education and training in business administration, finance, public administration, research administration, or a closely related field.
Overall Experience
• Minimum of 3 years of experience in grant management or research administration.
Specific role relevance / hierarchy level
• Proven experience in creating and managing complex grant budgets, financial reporting, and compliance monitoring.
• Familiarity with institutional polices and regulations.
