The Receptionist & Admin Associate will be the first point of contact for visitors to the company and will provide administrative support to the organization. The successful candidate will have strong interpersonal skills, the ability to multitask, and a professional demeanor. Additionally, this role will manage shipping and booking travel requests for employees.
Primary responsibilities:
· Greet visitors and provide a warm welcome to the company.
· Answer incoming calls, take messages, and direct calls to the appropriate personnel.
· Manage the front desk and ensure a professional and organized appearance.
· Perform general administrative tasks, such as data entry, filing, and photocopying.
· Manage the company's internal and external correspondence.
· Provide support to other departments as needed.
· Maintain an accurate and up-to-date record of office supplies and place orders as necessary.
· Ensure the security of the front desk and confidential information.
· Manage shipping requests and coordinate with carriers to ensure timely delivery.
· Book travel arrangements for employees, including flights, hotels, and ground transportation.
· Ensure that travel expenses are within company policy and budget.
· To use the InstaShop services as per the company policies in order order to provide feedback on how to improve the service
Requirements:
· Bachelors degree
· 1-2 years of experience as a receptionist or in a similar role.
· Strong interpersonal and communication skills.
· Ability to multitask and prioritize tasks effectively.
· Professional demeanor and appearance.
· Ability to maintain confidentiality and handle sensitive information.
· Proficiency in Microsoft Office and Google Suite.
· Experience with shipping and travel booking preferred.
