Job Description

The Project Administrator is site-based and provides support to the Project Manager by performing project management tasks that do not require decision-making. These include monitoring and maintenance of the project financial forecast as well as correct posting of actuals, managing project documentation, invoice triggering, and payment monitoring. This role ensures smooth administrative operations, allowing the Project Manager to focus on strategic decision-making.


Key Responsibilities:


  • Support the Project Manager and Supervisor in decision-making by collecting and organizing information.


  • Updating and sending daily attendance, activity reports, uploading drawings and submittals in Aconex


  • Maintaining the logs for all the customer submittals


  • Monitor project schedules and notify the team of updates or adjustments.


  • Manage customer correspondence, approvals, documentation, and archiving.


  • Track invoicing and cost forecasts, reporting deviations, and ensuring updates align with project milestones.


  • Create and manage Purchase Requests (PRs) and ensure accurate labor and subcontracting planning.


  • Prepare documentation for milestones, reviews, and revenue recognition processes.


  • Assist with logistics coordination and manage project-related claims and variations.


  • Ensure compliance with project schedules, documentation submission, and system status for project closure and archiving.


  • Timely updating and correctness of project schedule, S-plan milestone schedule, and cost forecast in SAP.


Are you the one?


  • Prior working experience of 2 years in a similar role


  • Ability to read and comprehend contract terms and conditions as well as contract financials.


  • Ability to read, analyze, and interpret general business and technical procedures or governmental regulations.


  • Proficient in Microsoft Office products


  • SAP ERP system and functionality knowledge.


  • Must be proficient in Aconex.
