Coordinate the complete procurement process with the procurement team
Liaison with managers on purchasing requirements
Prepare requisitions descriptions of items required and ensure purchase requisitions are
properly authorized
Solicit competitive quotations, prices, or tenders for technical or complex purchasing
requirements
Negotiate purchase of high dollar, volume items and special project materials
Compare prices received and approving or recommending placement of orders
Analyse and evaluate technical or complex proposals and selecting best vendor to supply
items meeting all requirements
Interview sales and manufacturing representatives to obtain information on commodities
and prices
Responsible for the preparation of procurement documents which includes but not limited to
RFQ preparation, bid clarifications, commercial bid evaluation and purchase requisition and
if applicable prepare the purchase order on client’s behalf.
Prepare supporting documents i.e., sole source documents, request of approval, etc.
Negotiate claims with suppliers
Administration and monitoring of shop expediting assignments
Preparation and processing of project expediting file closeouts
Coordinate shop visits for direct participation to verify status updates
Work closely with document control to coordinate the exchange of vendor drawings and
documents
Expedite the exchange of schedules, drawings and documents between home-office and
suppliers
Communicate equipment/material delays and schedule conflicts with project team
Follow-up with the supplier to determine schedule restoration plans and corrective actions
to ensure delivery performance, and/or monitor activities during product
manufacturing/shipment
Collaborate with relevant ‘key working relationships’ such as client procurement
representatives and vendors to ensure all procurement activities have been addressed and
covered off
Manage deadlines and ensure appropriate communication is provided to relevant parties
when schedule conflicts arise
Expected to work with all levels of the organization in a cohesive and respectful manner
Responsible for large complex mechanical packages and large fabrication packages, may be
the expediting lead on small to mid-size projects
Manage the purchase of bulks, material management, responsible for preparing bill of
material, material reconciliation, managing and tracking of shipped bulk materials
Conduct meetings with vendors of complex packages on weekly or bi-weekly basis
Arrange third party inspectors, request bids and coordinate with inspectors to provide
required PO documentation
