We are seeking a highly organized and detail-oriented PRO Officer to join our HR Team, the ideal candidate will work in all aspects of employee visa processing, government compliance, and an element of payroll-related administrative tasks.
The ideal candidate will handle visa applications, renewals, cancellations, expense reconciliations, and government portal management while ensuring compliance with UAE labor laws, immigration regulations and free zone regulations. Strong customer service skills, multitasking abilities, and analytical reporting will be key to success in this role.
Visa Processing & Government Liaison:
· Manage the complete visa lifecycle, including new applications, renewals, transfers, and cancellations for employees.
· Assist in the preparation and submission of required documents for work permits and residency visa.
· Keep track of employees’ visa and work permit statuses, ensuring timely renewals and compliance.
· Handle visa expense reconciliation and ensure all government-related fees are accurately tracked and reported.
· Ensure all government portals used for visa processing (e.g. AXS, MOHRE, GDRFA, ICA) have sufficient funds for smooth operations.
· Stay updated on changes in government laws and regulations and advise management accordingly.Address and resolve any issues related to employment visa rejections, working closely with relevant authorities to mitigate risks.
Provide expert guidance on general visa-related queries for employees and management.
HR & Payroll Administration:
· Prepare and issue employee letters, including salary certificates, NOCs, and employment verifications.
· Maintain accurate employee records and documentation related to visas, work permits, and employment contracts.
· Support payroll processing by ensuring accurate deductions and reimbursements related to visa costs.
· Coordinate with relevant departments to ensure timely completion of employee offboarding clearances.Collaborate with finance teams for visa-related payments and expense tracking.
Analytics & Reporting:
· Track and report visa-related expenses, providing monthly analytics on costs, visa applications, and processing timelines.
· Ensure accurate and timely reporting and analysis of visa-related statuses.Identify trends and provide insights on improving efficiency in visa processing and expense management.
Compliance & Risk Management:
· Ensure company compliance with UAE labor laws, immigration regulations, free zone regulations and any updates from government authorities.
· Proactively manage risks by addressing potential compliance issues before they escalate.
· Serve as the primary point of contact for government authorities regarding visa and labor- related matters.Assist the legal department in issuing and renewing company trade licenses and related establishment cards.
Customer Service & Coordination:
· Provide excellent customer service to employees regarding visa-related queries, ensuring a smooth and hassle-free experience.
· Coordinate with internal stakeholders such as HR, finance, and operations teams to streamline visa processing and approvals.
· Handle multiple tasks efficiently while maintaining accuracy and attention to detail.
Requirements and Core Competencies
· Bachelor's degree in HR, Business Administration, or a related field preferred.
· Minimum 3-5 years of experience in PRO, HR, or payroll roles, preferably in Dubai or the UAE.
· Strong knowledge of UAE labor laws, immigration processes, and government compliance requirements.
· Experience handling government portals such as AXS, MOHRE, GDRFA, ICA, and Tasheel.
· Excellent problem-solving skills with the ability to handle visa rejections and provide quick resolutions.
· Strong analytical skills with experience in expense reconciliation and reporting.
· Proficiency in Microsoft Excel and HR systems for data tracking and analysis.
· Exceptional communication and interpersonal skills with a customer-focused approach.
· Ability to multitask and manage competing priorities in a fast-paced environment.
· High level of attention to detail and organizational skills.
· Fluency in English is required; Arabic proficiency is a plus.
