Job Description

Administrative support to Head of Innovation Center and senior management team


1. Senior administrative support to management team


2.Provide regular summary updates to senior management on project progress, risks, issues and planning.


3. Lead organizing and coordinating events, meetings with internal and external stakeholders, writing minutes of meetings and coordinating follow-up actions.


4.Maintaining accurate electronic record systems and ensuring that documentation is updated and accessible.


5.Drafting briefing materials (summary reports, presentations, spreadsheets) ahead of key meetings and events, conducting desk research and analysis where necessary.


6.Lead administrative tasks related to learning & research activities in relation to the University.


Administration Lead to Innovation Center operations


1.Act as a point of contact with internal stakeholders across Dubai Health with innovation-related queries.


2.Raise purchase requisitions within internal systems and initiate and close the procurement cycle, maintaining accurate financial records.


3.Ensure the availability of office and tech lab consumables for the department by maintaining an up-to-date inventory.


4.Manage meeting room schedules and access to other facilities (e.g. company spaces, thematic labs).


5.Manage approvals processes and sign-off between team members and senior management.


Manage meetings, trainings, and event organization


1. Lead internal and external meetings, events and training events including VIP visits in coordination with key departments within Dubau Health and external partners.


2.Represent the innovation team, as required, in Taskforce teams/ project meetings and other forums contributing effectively through presentations and discussions.


3.Prepare periodicreports for team meetings to facilitate information sharing and decision making. 


Lead Innovation center marketing and communications strategy


1. Ensure update and consistency of website content materials in liaison with other members of the innovation team and in collaboration with marketing team. 


2. Manage the Innovation Center social media platform and proactively manage campaigns in conjunction with Dubai Health Marketing and Communications colleagues. 


3. Support with developing brochures, leaflets and other communication materials, as required and in liaison with relevant colleagues.


Developmental Responsibilities


Familiarize and learn the core processes to demonstrate multi-skilling competences in the Innovation Centre.


Bachelor’s or equivalent in any related area


More than 5 years of relevant experience


Required - Healthcare experience


Preferable - University experience
