Job Description

  • Manage vehicle new and renewal process within the set timeframe ideally 10 days of the expiry date of the vehicle including secure path certificate and RTA passing test certificate.
  • Report the accident to the insurance company within 24 hours of the accident reporting time and provide the complete set of documents to the insurance company/broker.
  • Follow up with the insurance broker or repair supplier to ensure an efficient repair process and forward all delays/issues to the direct manager for escalation.
  • Maintain accurate data and update the vehicle status and kilometrage in the rental software system and fleet tracking system.
  • Track and follow up on a daily basis on the out-of-service vehicle status, update the system with notes and provide daily reports about out-of-service vehicles.
  • Coordinate and arrange between the mechanical supplier and the customers for the maintenance/oil change of rental vehicles.
  • Ensure the fleet is properly cleaned, fueled, and ready for rental in coordination with operations and rental teams.
  • Add and update all the new vehicle records in the rental system software after completing the new vehicle induction process and ensure retaining the vehicle license card in soft and hard copies with all other documents.
  • Coordinate regular vehicle maintenance, inspections, and repairs.
  • Manage relationships with maintenance vendors and ensure cost-effective services.
  • Maintain accurate records of vehicle maintenance history.
  • Responsible for vehicle registration and renewal.
  • Responsible for GPS and Immobilizer installation.
  • Daily provision of ready vehicles in the early morning.
  • Monitor and optimize fleet utilization and distribution.
  • Provide excellent customer service to customers and address their inquiries or concerns.
  • Conduct periodic physical inventory checks.


Skills

Experience

Proven experience in fleet management, preferably in the car rental industry.

Strong knowledge of vehicle maintenance and repair processes.

Excellent problem-solving and organizational abilities.

Proficient in using fleet management software and Microsoft Office Suite.

A valid UAE driver's license.
