Job Description
External Affairs Database
- Develop and maintain database for key information pertaining to all GCAA external stakeholders events, all communications and agreements.
Interface and Preparation of Correspondence with Stakeholders
- Assist in managing correspondence with external stakeholders on various relevant issues and coordinate with other GCAA units to ensure consistent and collaborative messages are exchanged between GCAA and stakeholders.
- Assist in preparing summary reports and status updates for the management on matters being discussed with the stakeholders, on external affairs.
Attendance at International Meets
- Assist in planning and ensuring effective coordination of the participation and attendance of GCAA at meetings of internal organisations periodically, in close coordination with the Corporate Communications section.
Interface and Correspondence with International Bodies
- Draft summary reports and status updates for the management on matters being discussed with the ICAO, in close coordination with the Corporate Communications section.
Protocol
- Managing the foreign delegations in accordance with the approved protocol policy.
Relationship Management
- Support PR activities with external entities (international and national), to promote the effective functioning of External Affairs activities, seeing that they are implemented smoothly and professionally.
- Maintain relationships with governmental entities such as the Ministry of Foreign Affairs, Statistics Centre, Ministry of Interior, air force etc.
- Maintain relationships with UAE stakeholders including DCAs, CAAs, industry entities, airline operators, airports, training centres, maintenance and engineering centres and medical centres.
Administrative Support
- Undertake administrative support to the section to ensure efficient and effective implementation of the section plans.
- Preparing draft cooperation agreements and MOUs with other entities, in cooperation and coordination with the ICAO office and internal departments.
- Coordinate in training and exchanging official documents, experiences and others.
Personnel Development
- Perform additional tasks as requested by the management to be able to achieve objectives and commitments.
Policies, Systems, Processes and Procedures
- Implement policies, systems, processes and procedures so that all relevant procedural/legislative requirements are fulfilled while delivering high quality in accordance with the customer services standards.
Audits
- Implement corrective actions raised against the Sector under internal surveillance program to ascertain international standards and continuous improvement.
- Support the administration of activities by external entities on request.
Document Management
- Maintain records of relevant reports, certifications and general correspondence to ensure proper document management
Reporting
- Ensure that all functional reports are prepared timely and accurately and meet GCAA requirements and quality standards.
Health, Safety and Environment within GCAA
- Ensure compliance with all relevant health, safety, quality and environmental management procedures and controls to guarantee employee safety, legislative compliance, delivery of high-quality products/services and a responsible environmental attitude as per IMS available standards
Other Tasks/ Accountability
- Perform additional tasks relevant to the role / area of expertise as requested by the management to be able to achieve the objectives/commitments.
