Job Description
Certification/Approval, Audit and Continued Oversight
- Assist in the preparation and monitoring of the annual section’s oversight program to enable Inspectors to be accomplishing the audits as planned.
- Assist in the preparation of the annual section’s risk assessment associated to inspections and audits as part of the oversight program.
- Assist Air Carrier Inspectors in the preparation of audit findings as well as notification of audit findings through the Q-pulse system.
- Check and monitor that entries in the Q-pulse system associated to inspections, audits and manuals are correct and time limits observed.
- Assist Air Carrier Inspectors in the evaluation of operations manual.
- Record ATO applications for issuance, renewal or extension/addition of approvals and authorization.
- Record TRE/TRI/SFE/SFI conducted by the Flight Operations inspector.
- Updating Senior Examiner/TRE/TRI/SFE/SFI list Coordinate with
- Finance Department regarding fee collection for issuance, renewal and extension of instructors and examiners and Air/Private Operators Certificate application in accordance with GCAA procedures to ensure payment is completed.
- Monitor and control AOC/POC/ATO database to ensure efficient records and easy retrieval.
- Act as an active member of IT projects relating E-Services, Q-pulse, and E-Achieving to provide accurate and actual inputs to the project team.
Supervising/Mentoring/Training
- Train and mentor new Admin. Assistants to assist in their development and maintain competence.
Internal Surveillance & Audits
- Implement corrective actions raised against the department during internal surveillance program to ascertain alignment of Safety Affairs standards in line with international standards and continuous improvements.
- Support the administration of all auditing activities by external entities of Safety Affairs including ICAO, and IMS to ensure smooth and productive audit.
Document Management
- Maintain a comprehensive record of relevant certification, reports, recommendations, general documents, and relevant files to ensure an accurate record and evidence base.
- Receive, classify, consolidate and/or summarise documents and information, maintaining records of documents processed according to standard procedures to facilitate their use by Management/Inspectors.
- Organise and maintain the Section filing system to ensure compliance with GCAA record management procedures (archiving activities).
- Investigate and research files and documents in order to establish or clarify facts required to progress queries raised internally or externally.
- Maintain and organise the retention of approved manuals and other related documents for regulatory reference.
Reporting
- Ensure that all functional reports are prepared timely and accurately and meet GCAA requirements and quality standards.
Health, Safety and Environment within GCAA
- Ensure compliance with all relevant health, safety, quality and environmental management procedures and controls to guarantee employee safety, legislative compliance, delivery of high-quality products/services and a responsible environmental attitude as per IMS available standards.
Other Tasks/ Accountability
- Perform additional tasks relevant to the role / area of expertise as requested by the management to be able to achieve the objectives/commitments.
