Job Posting: Office Administrator

Join our prestigious firm, Schematic Engineering Consultants, as an Administrative Assistant. We are a leading provider of comprehensive architecture and engineering solutions based in the United Arab Emirates. We are looking for a dedicated and experienced administrative professional to ensure our office operates smoothly and efficiently. The ideal candidate will have a keen eye for detail, exceptional organizational skills, and the ability to handle multiple tasks in a dynamic environment. With a minimum of 2 years of experience in an engineering consulting firm, you will be instrumental in managing our information and communication flows, ensuring our high standards are consistently met.

Responsibilities:

  • Office Organization: Ensure the office is well-organized and running smoothly at all times.
  • Information Management: Maintain and manage all office information and communications efficiently.
  • Document Management: Handle printing, scanning, emailing, and distribution of documents.
  • Budget Management: Prepare budgets and track expenditure across the organization.
  • Office Supplies Management: Purchase stationery and other office supplies as needed.
  • Meeting and Event Coordination: Schedule meetings and events, draft agendas, book venues, and source refreshments.
  • Representation: Represent the organization in meetings with stakeholders.
  • Travel Arrangements: Secure transport and accommodation bookings for staff upon request.
  • Policy Formulation: Formulate and distribute administrative policies, updating existing protocols as necessary.
  • Database Management: Create and maintain sizable databases.
  • Regulatory Compliance: Ensure all activities comply with local regulations and guidelines.
  • Government Portals: Handle all necessary interactions with government portals such as DM, DDA, DCD, DEWA, and RTA.
  • Technical Skills: Exhibit advanced computer literacy.
  • Task Prioritization: Prioritize tasks efficiently.
  • Communication: Demonstrate excellent verbal and written communication skills.

Qualifications:

  • Must have at least 2 years of experience working as an administrative assistant in an engineering consulting firm.
  • Familiarity with government portals such as DM, DDA, DCD, DEWA, and RTA is required.
  • Strong organizational and multitasking abilities.
  • Proficiency in office software (e.g., MS Office Suite).
  • High level of professionalism and discretion.
  • Ability to work independently and as part of a team.
  • Exceptional attention to detail.
  • Excellent problem-solving skills and ability to handle multiple tasks simultaneously.
  • Strong interpersonal skills and the ability to manage relationships with various stakeholders.
  • Ability to maintain confidentiality and handle sensitive information.
