Join our prestigious firm, Schematic Engineering Consultants, as an Administrative Assistant. We are a leading provider of comprehensive architecture and engineering solutions based in the United Arab Emirates. We are looking for a dedicated and experienced administrative professional to ensure our office operates smoothly and efficiently. The ideal candidate will have a keen eye for detail, exceptional organizational skills, and the ability to handle multiple tasks in a dynamic environment. With a minimum of 2 years of experience in an engineering consulting firm, you will be instrumental in managing our information and communication flows, ensuring our high standards are consistently met.
Responsibilities:
- Office Organization: Ensure the office is well-organized and running smoothly at all times.
- Information Management: Maintain and manage all office information and communications efficiently.
- Document Management: Handle printing, scanning, emailing, and distribution of documents.
- Budget Management: Prepare budgets and track expenditure across the organization.
- Office Supplies Management: Purchase stationery and other office supplies as needed.
- Meeting and Event Coordination: Schedule meetings and events, draft agendas, book venues, and source refreshments.
- Representation: Represent the organization in meetings with stakeholders.
- Travel Arrangements: Secure transport and accommodation bookings for staff upon request.
- Policy Formulation: Formulate and distribute administrative policies, updating existing protocols as necessary.
- Database Management: Create and maintain sizable databases.
- Regulatory Compliance: Ensure all activities comply with local regulations and guidelines.
- Government Portals: Handle all necessary interactions with government portals such as DM, DDA, DCD, DEWA, and RTA.
- Technical Skills: Exhibit advanced computer literacy.
- Task Prioritization: Prioritize tasks efficiently.
- Communication: Demonstrate excellent verbal and written communication skills.
Qualifications:
- Must have at least 2 years of experience working as an administrative assistant in an engineering consulting firm.
- Familiarity with government portals such as DM, DDA, DCD, DEWA, and RTA is required.
- Strong organizational and multitasking abilities.
- Proficiency in office software (e.g., MS Office Suite).
- High level of professionalism and discretion.
- Ability to work independently and as part of a team.
- Exceptional attention to detail.
- Excellent problem-solving skills and ability to handle multiple tasks simultaneously.
- Strong interpersonal skills and the ability to manage relationships with various stakeholders.
- Ability to maintain confidentiality and handle sensitive information.
