Job Description

      Tenant Relations:


  • Assist in maintaining positive relationships with tenants.
  • Address tenant inquiries, concerns, and requests in a timely and professional manner.
  • Provide support to tenants as needed, ensuring their satisfaction with the mall's services and facilities.
  • To meet the new tenant prior to the shop opening, discuss the operations procedures, share the Tenant handbook Manual.

     Tenant Communication:


  •  Facilitate communication between tenants and mall management.
  •  Relay important information, updates, and notices to tenants.
  •  Assist in organizing tenant meetings or forums to discuss mall-related matters.

    Complaint Handling:


  •  Handle tenant complaints or issues and work to resolve them effectively.
  •  Document and track tenant complaints for future reference.

   Tenant Support:


  •   Assist tenants with the setup of their stores or spaces within the mall.
  •   Coordinate with maintenance and other relevant departments to meet tenant needs.
  •   Monitor and evaluate trends in tenant performance to provide actionable insights

  Market Analysis:


  •   Assist in gathering market intelligence and information on retail trends.
  •   Research and report on competitors and market dynamics.
  •   Conduct studies to identify emerging consumer preferences and behaviours in the retail sector.

 Reporting:


  •  Prepare regular reports on tenant activities and lease renewals.
  •  Assist in generating reports for management on occupancy rates, lease expirations, and tenant feedback.
  •  Always ready for ad hoc reports. 

 Administrative Tasks:


  •   Perform general administrative duties, such as filing, record-keeping, and document preparation.
  •   Provide administrative support to the tenant relations department.
  •   Responsible for processing all the correspondence and communications received from tenants on time. 
  •   To send violation letters to the non-complying tenants and circulate memos related to any update on site’s operations
  •    Review, approve, or reject any work permit submitted by the tenant or tenant’s contractor/supplier such as: windows display, promotions, stock taking, VM and deliveries.

 Compliance:


  •   Ensure that tenants adhere to mall rules and regulations.
  •   Assist in monitoring tenant compliance with lease terms.

Customer Service:


  •   Deliver excellent customer service to both tenants and shoppers.

   Help maintain a clean, safe, and welcoming shopping environment


Competencies / Skills Required


  • At least 3 years of experience in Tenant Relations within the same industry.
  • Excellent verbal and written communication skills for effective interaction with tenants, colleagues, and stakeholders.
  • Strong organizational and analytical abilities to manage multiple tenant inquiries and tasks efficiently.
  • Knowledge of lease agreements, local authority regulations, and health, safety, and environmental (HSE) standards.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
