Number of Units: 233 Units & 2 Penthouses
Supply, installation and commissioning of Electric Vehicle (EV) chargers at Banyan Tree Residences. The selected vendor will be responsible for providing a turnkey solution, including any necessary upgrades to the building’s electrical infrastructure to support the installation and operation of EV charging stations.

Scope of Work:



Installation of EV Chargers*:


- Type of Chargers : The EV chargers must be of a higher standard, with the ability to support AC or DC fast charging for vehicles.
- Charging Speed : The proposed chargers should be capable of fully charging a standard EV in no more than 4-6 hours, with no excessive wait times for single vehicle charging.
- Number of Chargers : The exact number of chargers should be determined based on the parking space availability and building requirements. The vendor must propose the most efficient and scalable solution.
- Charger Design : Proposals must include chargers that are user-friendly, weather-resistant (suitable for outdoor or semi-outdoor installation) and able to handle simultaneous vehicle connections without performance degradation.
- Connector Type : The chargers must be compatible with Type 2 (Mennekes) connectors or any universal connectors widely accepted in the region.
Electrical Panel and Infrastructure Upgrades:
- Electrical Load Assessment : The vendor must perform an in-depth assessment of the current electrical load to determine whether the building’s existing electrical system can support the additional load required by the EV chargers.
- Upgrades and Modifications : If the existing system cannot accommodate the load, the vendor will be responsible for upgrading the electrical panels, circuit breakers and distribution boards in the common areas including consultancy fee and DEWA approval charges. The vendor must ensure that these upgrades meet the required power load and provide full integration with the EV charging system.
- Power Distribution : The power distribution system should be designed to allow for future scalability (e.g., additional EV chargers in the future), without significant rewiring or major upgrades.
Detailed Specifications and Technical Compliance:
- Wattage and Ratings : The wattage ratings of each EV charger must be clearly specified. The proposed chargers should be capable of handling a minimum of 22 kW for fast charging stations (if applicable).
- Brand and Origin : The proposal must include detailed information on the brand, country of origin, model number and specifications of the EV chargers. Only recognized and reputable manufacturers with proven track records in the region will be considered.
- Safety and Compliance : The EV chargers must be UL listed, IEC 61851 or ISO 15118 compliant and meet all local electrical standards and regulations as per Dubai Municipality guidelines.
- Energy Management : The system should incorporate energy management features such as load balancing and energy monitoring for each charger, to optimize energy usage and minimize electrical peak load.
Warranty and Life Expectancy:
- Warranty: The vendor must provide a minimum 5-year warranty on all EV chargers and associated equipment, covering repair or replacement of any faulty units.
- Life Expectancy: The EV chargers should have an expected operational life of at least 10 years, with parts and service availability for maintenance during this period.
Testing, Commissioning and Handover:
- The vendor must perform a thorough system test after installation to ensure that all units are functioning correctly and safely.
- All charging stations should undergo comprehensive commissioning to confirm they meet the required charging speeds and power output.
Post-Installation Support and Maintenance:
- The vendor must provide ongoing maintenance and troubleshooting services during the warranty period.
- Any maintenance services outside of the warranty period will be clearly outlined in the proposal, including costs for spare parts, repair services and any further system upgrades.
Job Completion and Acceptance:
- The installation and commissioning process must be completed within the agreed-upon timeframe, ensuring minimal disruption to the residents and overall operations of the building.
- After completion, a final inspection will be carried out by the building management to ensure that the installation meets all technical and regulatory requirements.

Important Clauses Regarding Variations*:


- Fixed Price Proposal: The submitted proposal must be a fixed-price quotation, including all costs for the supply, installation, testing, and commissioning of the EV charging infrastructure. No variations or additional costs will be entertained once the contract is awarded unless unforeseen circumstances arise, which must be clearly outlined and agreed upon in writing.
- No Variations After Award: Once the contract is awarded and signed, any variations to the agreed-upon work, price, or specifications will not be accepted. If the vendor fails to meet the agreed contract value or if unapproved variations arise, the contract may be terminated immediately without further notice. Any breach of the agreed terms will result in the vendor being liable for damages and costs incurred by the client as a result.

Proposal Submission Requirements*:


- Technical Details : Include all technical specifications for the proposed EV chargers, including wattage ratings, types, and country of origin.
- Cost Breakdown : A detailed breakdown of the cost for supply, installation, electrical upgrades, and any other related services.
- Warranty Information : A clear explanation of the warranty period and conditions for all equipment.
- Timeline : An estimated timeline for the full installation, from approval to commissioning.

b. consider all risks, contingencies and other circumstances relating to the delivery of the Requirements and include adequate provision in its Proposal to manage such risks and contingencies. c. document in its Proposal all assumptions and qualifications made about the delivery of the Requirements, including any assumption that HOAM or a third party will deliver any aspect of the Requirements or incur any cost related to the delivery of the Requirements. 12. HOAM will convene an evaluation panel comprising members chosen for their relevant expertise and experience. In addition, HOAM may invite independent advisors to evaluate any Proposal, or any aspect of any Proposal. a. each Vendor’s understanding of the Requirements, capability to fully deliver the Requirements and willingness to meet the terms and conditions of the Proposed Contract 22. HOAM will advise Vendors if they have been shortlisted or not. Being shortlisted does not constitute acceptance by HOAM of the Vendor’s Proposal, or imply or create any obligation
