Job Description

Key Responsibilities:

  • Employee Records Management: Maintain and update employee files and documentation in the HR system, ensuring accuracy and confidentiality at all times. This includes sensitive information related to personal details, job performance, and employment history.
  • Preparation of HR Documentation: Prepare employment contracts, HR letters, and other employee documentation, ensuring all information remains confidential and is disclosed only to authorized individuals.
  • Onboarding Support: Assist with the onboarding process for new employees, including processing visa applications, insurance registration, and preparing new joiner announcements. All new hire-related information must be handled with complete confidentiality.
  • Offboarding Support: Assist with offboarding activities, including visa and insurance cancellations, conducting exit clearance, and ensuring the appropriate handling of employee information in compliance with legal and company requirements.
  • Leave Management: Manage and track employee leave requests, update leave balances, and provide guidance on leave status while maintaining strict confidentiality regarding individual leave records.
  • General HR Inquiries: Address and respond to employee inquiries regarding HR policies, benefits, and other employment-related matters, ensuring that any sensitive information is disclosed only when appropriate and in line with confidentiality agreements.
  • Recruitment Support: Assist with recruitment efforts by sourcing candidates, screening resumes, coordinating interviews, and supporting hiring managers. All applicant-related information, including salary expectations, is confidential and should not be disclosed inappropriately.
  • HR Initiatives: Help organize and support various HR programs, including training sessions, employee engagement activities, and recognition programs (such as Employee of the Month). Any internal discussions related to these programs should remain confidential.
