Job Description
The HR Coordinator plays a key role in managing employee records, handling visa processing in VMS, ensuring 100 % compliance with HR policies and processes.
Employee Records & Database Management
- Maintain and update all staff records, tracking the employee lifecycle from recruitment to exit.
- Collect, verify, and upload all employee documents into the HR system, ensuring data accuracy and completeness.
- Maintain and regularly update the employee database to reflect any changes in employment status, contracts, and other relevant details.
Visa & Work Permit Processing and Insurance.
- Coordinate the visa processing workflow, including document collection, verification, and uploading into the Visa Management System (VMS).
- Work closely with the Public Relations Officer (PRO) to monitor visa application statuses and follow up on any pending cases.
- Ensure timely renewal of visas, work permits, insurance and related legal documentation in compliance with labor laws.
- Maintain a tracker for the visa and medical insurance, renewals and cancellation.
Employment Contracts & Onboarding Coordination
- Ensure all new hires receive and sign their employment contracts in a timely manner.
- Follow up with employees regarding contract completion and submission.
- Coordinate with new joiners to facilitate medical tests and biometric registrations as part of the onboarding process.
- Handle new joiner’s accommodation and logistics management.
- Maintain an up-to-date onboarding checklist and ensure all requirements are met before employees begin their roles.
Employee Tracking & Reporting
- Keep a daily track of new joiners, leavers, and employees on the bench to ensure accurate workforce planning.
- Generate periodic reports on employee movements and provide insights to HR leadership.
- Support workforce forecasting by maintaining updated records on employee availability and contract status.
- Create a daily bench monitor and leave monitor and ensure that it is matches with the time sheets received.
- Follow up with employees and ensure the employees utilize their leaves and maintain a minimal leave balance.
HR Compliance & Policy Adherence
- Ensure all HR processes and employee records comply with the organization’s HR policies and local labor laws.
- Regularly review employee files to ensure compliance with documentation standards.
- Assist in audits and inspections by providing necessary employee records and reports.
Qualifications
Education:
- Minimum: Bachelor’s Degree
- Desired: Preferably in HR or Business Administration
