The American University in the Emirates is searching for an efficient Graduate Studies Support Officer is responsible for coordinating the administrative operations of the Graduate Studies Unit, ensuring effective support for graduate students, thesis compliance, and program administration. Reporting directly to the Vice President for Research, the Graduate Studies Support Officer plays a key role in maintaining smooth coordination across the unit’s functions and ensuring compliance with institutional and academic policies. This role requires strong organizational skills, attention to detail, and a comprehensive understanding of graduate studies procedures and requirements.
Qualifications & Experience
- Master's Degree in a relevant field (e.g., business administration, education management, public administration) from an accredited university
- Minimum of 3-4 years of progressively responsible experience in academic administration or graduate program support, with demonstrated leadership abilities.
- Preferably bilingual (speaks English and Arabic fluently)
Skills / Training / Knowledge
- Strong understanding of graduate program administration, including thesis compliance, student support, and academic policies.
- Excellent communication skills (bilingual - English and Arabic preferred) and the ability to collaborate with diverse stakeholders.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other administrative tools.
- Proven ability to prioritize tasks, manage deadlines, and make sound decisions in a dynamic environment.
- Knowledge of institutional policies, academic regulations, and best practices in graduate studies.
- Adaptability and willingness to learn new skills and technologies to enhance administrative efficiency.
Job Description
- Administrative Coordination
a. Oversee the day-to-day operations of the Graduate Studies Unit, ensuring smooth execution of administrative activities.
b. Develop and implement policies, procedures, and guidelines to support the efficient functioning of the unit in alignment with institutional goals.
c. Serve as a primary point of contact for graduate students and faculty, addressing inquiries and fostering effective communication.
- Thesis Compliance and Student Support
a. Assist graduate students in meeting thesis and dissertation compliance requirements, coordinating with relevant departments such as the Library and Registration.
b. Provide mentorship and guidance to graduate students on administrative aspects of their academic journey.
c. Ensure all thesis submissions comply with institutional and regulatory standards.
- Reporting and Documentation
a. Prepare comprehensive reports, presentations, and other documentation to track the unit’s activities, achievements, and compliance metrics.
b. Assist in compiling and submitting the Annual Operational Report for the Graduate Studies Unit.
- Event Coordination and Communication
a. Support the planning and execution of graduate studies events, including thesis defenses, workshops, seminars, and webinars.
b. Draft and disseminate announcements and updates related to graduate studies, upon approval from the Vice President for Research.
- Policy Review and Compliance
a. Review and ensure compliance with institutional policies and procedures related to graduate studies.
b. Stay updated on academic regulations and provide recommendations to improve processes and enhance efficiency.
- Additional Support
a. Provide operational support for special projects, initiatives, and strategic goals of the Graduate Studies Unit.
b. Perform any other tasks as assigned by the Vice President for Research to align with the strategic objectives of the university.
