Job Summary:

We are seeking a highly organized and detail-oriented Office Secretary with a background in accounting to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office, as well as utilizing their accounting skills to assist with financial tasks. This role requires excellent communication skills, proficiency in office software, and a strong understanding of accounting principles.

Responsibilities:

Administrative Support:

  • Manage and organize office operations and procedures.
  • Answer and direct phone calls, emails, and other correspondence.
  • Schedule meetings and appointments, and maintain calendars.
  • Maintain filing systems, both electronic and physical.

Accounting Assistance:

  • Assist with basic accounting tasks such as accounts payable and accounts receivable.
  • Prepare invoices, purchase orders, and expense reports.
  • Reconcile financial discrepancies by collecting and analyzing account information.
  • Assist in the preparation of financial statements and reports.
  • Handle basic payroll tasks and maintain payroll records.
  • Assist with budget preparation and monitoring.

Data Management:

  • Input and maintain accurate data in accounting and administrative systems.
  • Ensure confidentiality of financial and personnel information.
  • Generate and analyze reports as needed.
  • Communication and Coordination:
  • Liaise with other departments and external partners as needed.
  • Coordinate office activities and events.
  • Collaborate with colleagues to ensure smooth workflow and efficiency.

Qualifications:

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • Proven experience as an office secretary or administrative assistant, with a background in accounting.
  • Proficiency in MS Office (Word, Excel, Outlook) and accounting software (e.g., QuickBooks).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and accuracy in all tasks.
  • Ability to multitask and prioritize tasks effectively.
  • Discretion and confidentiality in handling sensitive information.
