Based in Dubai, UAE, the Facilities Specialist will report to the global Facilities department and manage the UAE offices.


Key responsibilities include:


  • Responsible for the full spectrum of Facilities BAU support, including company license renewal, customs clearance and staff visas (new, renewals and cancellations) with Dubai Government


  • Support Facilities and Physical Security functions in managing all aspects of office facilities and safety


  • Assist with space planning and project management for office expansion / restack including space review / planning, trail fit, fit-out design, risk assessment, tendering, management approval, renovation and contract execution


  • Liaise with senior management, stakeholders, users, vendors, consultants, landlord / building management company and property insurance brokers and insurers


  • Vendor management for all relevant operational service required, including facilities and equipment replacement / maintenance plan, security control, janitorial services and service delivery standard etc.


  • Act as the first point of contact for the overall Facilities Management operations including emergency response (on a 24x7 basis), incidents/ emergency handling/ reporting


  • Develop positive relationships for external and internal stakeholders for all Facilities Management issues in the responsible cities/region.


  • Ensure legal compliance in relation to all E&M, building / office facilities


  • Regular review of office user guide, policy and procedure and monitor the effectiveness during execution


  • Prepare, control and monitor budget to ensure smooth operations in a cost-effective manner


  • Manage and monitor the performance of outsourcing service provider


  • Manage and control potential risks and safety hazard associated within portfolio


  • Regular reporting to Facilities lead based in the UK


  • Support the physical security audit annually


  • Manage monthly Facilities invoice payment on time


  • Coordinates employee engagement initiatives, ensuring consistency in corporate programs and activities, working within a defined budget, as required, for location operation


  • Support all travel arrangements for team members and visiting teams to Dubai.


  • Assisting the team members in the Dubai office with any company/ office admin


  • Work closely with the EMEA Regional Head to coordinate signatures and provide  administrative support as needed.


Essential requirements:


  • Tertiary education or above, preferably in Facilities Management, Building Services or related discipline


  • With 2 to 5 years of experience in facilities management and/or office administrative field in sizable multinational companies


  • Strong knowledge of building regulations, statutory requirements and project management skills


  • Holder of registered Electrical Worker License is preferred


  • Good command of spoken and written English


  • Good interpersonal and communication skills


  • Business travel, weekend work may be occasionally required to support the department functions.
