BASIC FUNCTION AND SCOPE:
Responsible for the planning development and management of Company
DUTIES AND RESPONSIBILITIES:
- Develop and implement plans for the operational infrastructure of systems, process
and personnel designed to accommodate the growth of the company.
- Focus on using best business practice to improve efficiency, by reducing operating
costs while increasing productivity.
- Set department objectives and strategies and leads group to successful achievement of the same.
- Contribute to development and execute corporate policies specific to Facilities
Management, Engineering, and Security Management.
- Manage the negotiation and define the process for maintenance of contractor and
vendor agreements and contracts that define quality, delivery schedules, pricing, and
other terms and conditions.
- Lead personnel activities of the EFM (i.e., hire, train, appraise, reward, motivate,
recommend termination as necessary, etc.)
- Oversee recruitment of staff and labors.
- Mentor and develop facilities personnel, including supervisory and management staff.
- Develop personnel standards, group and individual objectives and manage to meet the
objectives.
- Manage and develop relationships with various groups including clients, internal
support groups (Finance, IT, Legal, Risk) and external vendors (architects, contractors,
HVAC firms).
- Interface with internal customers and works with Business Unit Leaders to define
immediate needs as well as long-term corporate strategy.
- Compile and manage the department budget.
- Get involved in both strategic planning and day-to-day operations, particularly in
relation to buildings and premises.
- Coordinate tenders documents for the contractors.
- Supervise and coordinate work of contractors.
- Calculate and compare costs for required goods or services to achieve maximum value
for money.
- Plan for future development in line with strategic business objectives.
- Manage and lead change to ensure minimum disruption to core activities.
- Direct and plan essential central services such as reception, security, maintenance,
mail, archiving, cleaning, catering, waste disposal and recycling.
- Ensure the building meets a health and safety requirements.
- Check that agreed work of staff or contractors is complete and follow up on any
deficiencies.
- Coordinate activities of personnel involved repair and maintenance of facilities,
buildings, and equipment to minimize interruption and improve efficiency.
- Coordinate and lead one or more teams to cover various areas of responsibility.
- Use performance management techniques to monitor and demonstrate achievement
of agreed service levels and to lead on improvement.
- Respond appropriately to emergencies or issues on time.
- Perform other related duties as assigned.
