Job Description

Transguard is currently looking for a Facilities Manager.

Facility Manager will be fully responsible and have the authority for the management and performance of facilities management services. He/she will be also responsible for the performance of dedicated Engineers and their teams, in addition to all specialist service providers. The main focus will be to lead the facility management team to achieve the present goals and targets for customer response and ensure all FM services are carried out to appropriate standards.

In this role, your responsibilities include the following:

  • Conduct Meeting with Owners Association Management and residents
  • Residents’ contractor/Fit out vendor site induction coordination. Move-in and Move out coordination
  • Experience launching community initiatives
  • Maintain verbal and written communication with the client and residents
  • Concierge Management
  • Ensure legal compliance to the government issued guidelines of community
  • Escalation from Owners committee to be addressed with timelines
  • Issuance of penalty for Community Violations and coordinate with residents to comply with general liability guidelines
  • Provide technical support and advice to the dedicated team to improve their performance.
  • Performance management of all Facility Maintenance Services.
  • Implement service level agreements for all Facility Maintenance Services.
  • Monitor the account budget and ensure that all services are provided within the allocated budget without jeopardizing the required standard of installation.
  • Financially evaluate the services provided and suggest ways for revenue generation.
  • Manage the execution of all PPM scheduled works and ensure that all helpdesk related works are carried out in a timely and efficient manner.
  • Prepare weekly, monthly and quarterly workload plans for the facility.
  • Analyze audit reports submitted by your subordinates and translate them into action plans.
  • Develop and monitor service level key performance indicators (KPIs) to ensure all services are carried out to customer satisfaction.
  • Attend the meetings regularly with the service providers for performance evaluation.
  • Utilize the CAFM system to evaluate business performance and provide recommendations for continuous improvement.
  • Ensure Cl logs savings are achieved
  • Suggest innovations and sustainable solutions
  • Ensure subcontractor management and track the issues related to specialized assets and rectifications
  • Ensure the company quality assurance and health and safety procedures are implemented effectively.
  • Represent the company at regular meetings with the client and other authorities.
  • Develop a pro-active working relationship with all authorities and assist in establishing areas for service improvement.
  • Manage customers’ expectations through clear communication and transparent work attitude.
  • Attend all meetings and report accurately on area of responsibility.
  • Ensure score cards are met with targets and submit every month with agreed timeline
  • Ensure grooming standard of staff at site
  • Report through the escalation procedures any emergency issues that occur within area of responsibility
  • Implement the company’s commercial agreements to ensure that all contracts are managed efficiently and within budget expectations.
