Facilities CoordinatorLocation Dubai, Dubayy, United Arab Emirates AV-271776 Dubai,Dubayy,United Arab Emirates Full-time 40 Global Forwarding, Freight DHL Logistics L.L.C Permanent Company Name DHL Logistics L.L.C Weekly Share this Opportunity Share job linkFacilities Coordinator JOB DESCRIPTION DGF UAE has an opening for Facilities Coordinator.* In this role you will lead all the facility related maintenance and repair for all Danzas owned and Danzas managed properties ensuring timely and accurate delivery of services, to include preventive & reactive maintenance, planned system overhauls, and all on-call repair services and Managing the overall daily operations Hard FM & Soft FM which also include MEP/Civil works, Energy Management, Waste management, Chillers , pest control, statutory compliance, landscaping & overall housekeeping.Join us in connecting people and improving lives.Principle Accountabilities Support the Senior Projects & Procurement Engineer & FM & Procurement Manager in preparing the budget for facilities annually and monitor operations to achieve objectives set in the yearly budget. Manage/Coordinate with the FM team on the daily breakdown callouts as well as the planned preventive maintenance schedules with the approved and appointed contractors and ensure that repairs are promptly and effectively carried out; identify and report shortcomings in responsiveness, quality of repairs and customer communications. Liaise with the manager in the development, scheduling, roll – out and execution of programmed preventive maintenance in all Danzas properties. To ensure the activity is completed as per schedule and with minimal disruption to operations. Manage the FM related service providers/contractors for all facility related sundry works and consumable requirements, screening them for technical competence and obtaining competitive prices from them to enable initiate purchase order requisitions as and when requirements arise. Identify the need and finalize maintenance contract/supplier activities in all Danzas owned or managed properties including facilities engineering services, specialized system services and facilities support services ensuring that the provisions of these contracts are comprehensive enough to comply with industry standards and legal requirements Ensure preventive and breakdown maintenances by approved and appointed contractors of properties are promptly and effectively carried out and records maintained; identify and report shortcomings in responsiveness, quality of repairs and customer communications. Perform daily walk around checks in various Danzas facilities, identify and log the items that require attention or repair and discuss with manager in making recommendations as required for the rectification. Inspect the works completed by contractors, approve their service reports and on the basis of which make recommendation for timely payment to contractors; maintain records of these reports for review and legal compliance. Facilitate in the compilation and maintenance of construction drawings, operating and maintenance manuals, warranty/guarantee certificates, etc. for all facilities and fixtures in a manner that information is current and promptly available for reference when required for future expansions or modifications to buildings or office layouts and maintenance or replacement of existing equipment’s. Support carrying out periodic inspections, investigations or audits of all facilities, promptly attend to any unreported faults/repairs or security risks and make recommendations where appropriate for upkeep of buildings so as to ensure that all Danzas owned/managed buildings are safe & secure and project a professional and clean look always. Build relationship with clients, landlords, utility providers, consultants, contractors and other authorities like JAFZA, DAFZA, DWC, civil defense and other regulatory bodies & parties that works in the best interests of Danzas at all times. Ensure all facility related requirements are met in accordance with civil defense and other regulatory bodies, including testing water system, fire system, A/C system and others. Ensuring OFC (Operational Fitness Certificate) is available for all facilities. To be aware of the Business Continuity Plan and assist in monthly reviews to ensure the plan is up to date Ensure proper work designation within team. Ensuring the timelines are met for ongoing projects as per the approved timelines. Monitoring the performance of your direct reports conducting performance reviews. Conduct team briefings with your direct reports, updating the team on best practices and continuing expectations, and provide coaching & training whenever required. FM Contracts & Performance management of AMC service providers and deliverables with defined SLA and KPI which are defined in the contracts. Energy management: Utility consolidation and data collection and monitoring the dashboards for utility consumption on monthly basis(DEWA and Solar ) and taking proactive steps to reduce utility consumption in coordination with service provider (Electricity, Domestic water ) Waste Management: To manage the entire Waste Management process in order to align with the Environmental aspects. Evaluation & monitoring the progress of continuous improvement/enhancement plan Management of maintenance regime Developing life cycle cost analysis for critical MEP high value assets. Management of H&S and developing risk register within asset and continuous review to update and mitigate the risks Taking over of the new/renovation projects from contractor and aligning the operational requirements in coordination with various departments. Managing the Review and verification process of MEP drawings for new requirements from the customers / operation team and assisting in execution of the same. Cross functional Internal audit with Operation, BPO , HSS and other departments.Now, here’s what we need from you.Key Skills / Qualifications Excellent communication skills Expertise in CAFM Software Firm Knowledge in HVAC/MEP/Civil Infrastructure. Knowledge of third-party service providers, contractors in facilities management area in the UAE Customer focus and influencing skills. Well versed with current market trend and industry best practice.
