Here are the primary responsibilities associated with this role.The Executive Assistant will play a vital role in managing the Chairman's daily corporate activities, ensuring smooth operations, and enabling the Chairman to focus on strategic decision-making. This role is crucial in providing high-level administrative support, managing corporate tasks, and ensuring seamless office operations. The Executive Assistant will also act as a key point of contact and facilitator of communication between the Chairman and various internal and external stakeholders.Key Responsibilities:Calendar Management:Efficiently manage the Chairman’s calendar, scheduling meetings, appointments, and travel arrangements to optimize productivity.Communicate schedule changes promptly and ensure the Chairman is well-prepared for all engagements.Meeting Coordination:Organize, attend, and coordinate all meetings for the Chairman, ensuring proper logistics, including venue arrangements and required materials.Prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion.Communication Management:Handle incoming correspondence, such as emails, phone calls, and messages, prioritizing urgent matters for the Chairman’s attention.Draft and edit communications on behalf of the Chairman, ensuring professionalism and clarity in all interactions.Document Management:Prepare and format reports, presentations, and other documents for meetings, ensuring accuracy and adherence to company standards.Maintain organized files, records, and databases for efficient information retrieval.Project Support:Assist the Chairman with various projects by coordinating necessary information, tracking progress, and ensuring deadlines are met.Conduct research and compile relevant data to support decision-making and reporting.Travel Arrangements:Arrange business travel itineraries for the Chairman, including transportation, accommodation, and meeting schedules for both domestic and international trips.Prepare comprehensive travel briefings, including itineraries, contact details, and necessary documents.Confidentiality and Professionalism:Maintain confidentiality regarding sensitive personal and professional matters of the Chairman.Represent the Chairman and the organization with professionalism, ensuring the company’s reputation is upheld in all interactions.This role offers an exciting opportunity to contribute to a dynamic organization in one of Dubai’s most prestigious sectors.
