Job Summary: 


The Office Manager / Executive Assistant is responsible for ensuring the smooth operation of the office, the Firm’s company and regulatory licensing and administrative functions, as well as providing high-level administrative support to executives. This role involves managing key office relationships and suppliers, coordinating with vendors, liaison with local and HQ key stakeholders and ensuring that office operations run efficiently. Additionally, the role includes managing schedules, handling correspondence, and organizing meetings for executives. 


Key Responsibilities: 


Office Administration


  • Maintain key relationships with relevant office stakeholders such as Emaar, PMO, external security and service vendors; 


  • Manage office supplies inventory and place orders as necessary (either directly or via Group or local partners);  


  • Oversee the maintenance of office facilities, equipment. 


  • Ensure the office is clean, organized, and well-maintained. 


  • Coordinate with IT for any issues in the office. 


Vendor Management


  • Coordinate with vendors for office supplies, equipment, and service providers, to include but not limited to 


  • Office suppliers 


  • Insurance service providers 


  • Banks and Pension services providers  


  • Accounting and Tax providers 


  • Maintain relationships with key vendors and pre-negotiate contracts for Management approval 


Staff Coordination


  • Supervise and support staff on office related matters in conjunction with the Employee handbook 


  • Coordinate office activities and operations to secure efficiency and compliance with company policies. 


  • Ensure timely and compliant maintenance of new and existing staff visa’s (either internally or external service providers) 


Communication


  • Serve as the point of contact for office-related inquiries. 


  • Handle correspondence, complaints, and queries. 


  • Financial Administration: 


  • Assist in annual budget preparation and expense management. 


  • Maintain records of office expenses and manage petty cash. 


Executive Support: 


  • Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements. 


  • Prepare and edit correspondence, reports, and presentations. 


  • Handle confidential information with discretion. 


  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. 


  • Assist with personal tasks and errands as needed. 


Qualifications


Education


  • Bachelor’s degree in Business Administration, Management, or a related professional equivalent 


Experience


  • Proven experience as an Office Manager, Front Office Manager, Professional services role, or Executive Assistant. 


  • Experience in managing administrative staff and office operations. 


  • A minimum of 3-5 years working and living in the UAE business environment  


Skills


  • Excellent organizational and time-management skills. 


  • Strong communication and interpersonal abilities. 


  • Proficiency in MS Office (MS Excel, Outlook, Word and Powerpoint in particular).


Languages


  • Multi-lingual, with strong business English written and verbal  


  • Arabic-speaking (preference not mandatory) 


Additional Requirements


  • Ability to handle confidential information with discretion. 


  • Ability to work independently to deliver on tasks/projects 


  • Strong problem-solving skills and attention to detail. 


  • Flexibility and adaptability to changing workloads.
