Executive Assistant
Position:
You will be responsible for competent management of all the administrative tasks and providing executive support to the office of the General Manager Middle Eeast & Global Shisha.
Responsibilities:
- Support the General Manager on daily tasks and ensure daily job assignments meet expectations and within dateline. Duties include taking and transcribing minutes, developing visitors agenda, composing correspondence where appropriate, maintaining records keeping/screening calls, managing appointments, creating requisitions or any documentations procedures. Execution of the job is done with minimum supervision, exercising discretion and sound judgement at all times.
- To ensure business presentations and any other ad-hoc presentations. This is achieved by proper coordination and communication with various parties involved in the work processes
- Ensure effective and timely dissemination of communication of critical information for the business with internal management, employees and external parties including other markets and business partners. Maintain good rapport with Geneva HQ, MENEAT and other regions and other departmental colleagues to help enhance communication channels and work processes.
- Provide strong support in scheduling meetings, appointments, travel and logistics arrangements for the General Manager and the Local Leadership team, visitors from Geneva Head Office, MENEAT region and other regions/global functions. This is done via gathering and coordinating accurate to the hoteliers / events organizers for logistic arrangements. Collate and file Expenses report forms from the General Manager.
- Support and organize company or department events, meetings, conferences, business dinners and team building days.
- Own OPEX budget for General Manager's cost center in coordination with General Manager and Financial Planning & Analysis; planning it and updating it, executing monthly budget reviews.
- Supporting in PR (purchase requisitions) and PO (purchase orders) activities such as raising purchase requisitions, tracking of payment and ensure these processes are executed in a timely manner.
- Work with local leadership team and provides supervision and coordination of other staff to ensure effective office management at all times.
- Manage various tasks and projects including both work related and personal errands as they arise and upon the General Manager’s request.
Who are we looking for:
- Good level of education and strong knowledge of cultural reality of Dubai and UAE
- About 3 years’ experience working as an Executive Assistant to Senior Management
- Proficient in both written and spoken English and Arabic
- Competent in the MS Office environment
- SAP user experience would be beneficial
- Possess sound knowledge and good organizational skills
- Displays good interpersonal skills, diplomacy and ability to maintain high level of confidentiality in the office
