Job Description

Provide high-level business and personal support to the Country Managing Director assisting with ad hoc tasks to ensure smooth daily operations. Manage complex schedules, including coordinating travel arrangements, expense reporting, and itinerary planning. Handle sensitive information with discretion, ensuring confidentiality and professionalism in all interactions. Oversee extensive diary management for the Management Team, Compliance Director, and Commercial Team, coordinating internal and external meetings, video conferences, and conference calls. Liaise with the global Executive Assistants across Vistra and externally to coordinate multi-time zone calls. VBC Agenda recording/updates, and accurate saving of the documents VBC/VRC Minute recording/updates, and accurate saving of the documents Ad-hoc support on compliance related tasks Handle general administrative tasks such as document management, email correspondence, and office organization. Implement and maintain efficient filing systems and databases to ensure accessible and secure document storage. Support front office and reception as instructed Excellent inter-personal and communication skills The ability to prioritise and organise your workload Ability to recognize areas of improvement and be pro-active in offering solutions Strong attention to detail and diligent Familiarity with Microsoft Outlook, Word, PowerPoint and Excel A natural customer focus Ability to work in a dynamic, team orientated environment A flexible, hands-on approach The ability to multi-task and be proactive and resourceful Professional attitude and appearance Location: Dubai, AE
