Job Summary & Purpose:
We are seeking a highly efficient and proactive Administrative Executive. The successful candidate will provide comprehensive administrative support to ensure the seamless operation of the office and enable the management team to function efficiently. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Job Description:
1. Vendor management: Establish and maintain effective relationships with external vendors and service
providers. Handle procurement, negotiate contracts, and monitor vendor performance to ensure quality and
cost-efficiency. Track and manage vendor agreements, ensuring timely renewals and compliance with the
terms.
2. Office Management: Ensure smooth day-to-day operations of the office by managing supplies, facilities, and
equipment. Oversee office maintenance and coordinate with service providers to ensure the workspace is
efficient and well-organized. Maintain a welcoming and safe environment for all employees and visitors.
3. Travel Management: Arrange travel plans for employees, including booking flights, accommodation, and
transportation. Prepare travel itineraries and ensure all travel arrangements comply with company policies and
budgets. Manage travel expenses and assist in processing reimbursements as needed.
4. Administrative Support: Provide comprehensive administrative assistance to management and staff, including
scheduling meetings, preparing reports, and managing correspondence. Organize and maintain physical and
digital records with accuracy and confidentiality. Assist in coordinating office communications and respond to
inquiries promptly.
5. Staff Uniform - Oversee the procurement and distribution of staff uniforms. This includes sourcing and
evaluating vendors, negotiating annual contracts, and ensuring timely delivery. Keep track of uniform inventory
and provide uniforms to new hires and promoters promptly.
6. Compliance and Policy Adherence: Ensure all administrative processes align with company policies and comply
with legal regulations. Maintain up-to-date knowledge of relevant laws and assist in implementing necessary
compliance measures. Conduct regular audits to ensure adherence to organizational standards and report any
compliance issues.
7. Event Coordination: Plan and execute company events, meetings, and conferences, ensuring all logistical needs
are met. Manage event budgets and coordinate with internal teams and external vendors to deliver successful
outcomes. Conduct post-event evaluations and recommend improvements for future events.
RequirementsQualitative Requirements:
• Minimum of 2-5 years of experience in an administrative role.
preferably in the retail industry in the UAE
Educational Qualification
• Bachelor’s degree in business administration or a related field
(preferred).
Skills & Abilities:
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint,
Outlook).
• Data Analysis capabilities: Basic skills in data analysis and visualization
using Excel & Power BI.
• Excellent organizational and multitasking abilities, with the capability
to prioritize tasks effectively.
• Strong verbal and written communication skills.
• Ability to work independently and as part of a team.
