Job Summary & Purpose: We are seeking a highly efficient and proactive Administrative Executive. The successful candidate will provide comprehensive administrative support to ensure the seamless operation of the office and enable the management team to function efficiently. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.Job Description:1. Vendor management: Establish and maintain effective relationships with external vendors and serviceproviders. Handle procurement, negotiate contracts, and monitor vendor performance to ensure quality andcost-efficiency. Track and manage vendor agreements, ensuring timely renewals and compliance with theterms.2. Office Management: Ensure smooth day-to-day operations of the office by managing supplies, facilities, andequipment. Oversee office maintenance and coordinate with service providers to ensure the workspace isefficient and well-organized. Maintain a welcoming and safe environment for all employees and visitors.3. Travel Management: Arrange travel plans for employees, including booking flights, accommodation, andtransportation. Prepare travel itineraries and ensure all travel arrangements comply with company policies andbudgets. Manage travel expenses and assist in processing reimbursements as needed.4. Administrative Support: Provide comprehensive administrative assistance to management and staff, includingscheduling meetings, preparing reports, and managing correspondence. Organize and maintain physical anddigital records with accuracy and confidentiality. Assist in coordinating office communications and respond toinquiries promptly.5. Staff Uniform - Oversee the procurement and distribution of staff uniforms. This includes sourcing andevaluating vendors, negotiating annual contracts, and ensuring timely delivery. Keep track of uniform inventoryand provide uniforms to new hires and promoters promptly.6. Compliance and Policy Adherence: Ensure all administrative processes align with company policies and complywith legal regulations. Maintain up-to-date knowledge of relevant laws and assist in implementing necessarycompliance measures. Conduct regular audits to ensure adherence to organizational standards and report anycompliance issues.7. Event Coordination: Plan and execute company events, meetings, and conferences, ensuring all logistical needsare met. Manage event budgets and coordinate with internal teams and external vendors to deliver successfuloutcomes. Conduct post-event evaluations and recommend improvements for future events.RequirementsQualitative Requirements:• Minimum of 2-5 years of experience in an administrative role.preferably in the retail industry in the UAEEducational Qualification• Bachelor’s degree in business administration or a related field(preferred).Skills & Abilities:• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint,Outlook).• Data Analysis capabilities: Basic skills in data analysis and visualizationusing Excel & Power BI.• Excellent organizational and multitasking abilities, with the capabilityto prioritize tasks effectively.• Strong verbal and written communication skills.• Ability to work independently and as part of a team.
