Exams Officer



Job Description



GEMS Wellington Academy, Al Khail are looking to appoint an experienced Exams Officer for July/August 2025.
Examination Administration
Collate and process all exam entries for GCSE, A-Level, BTEC, and other qualifications offered by the school. Ensure all examination entries are submitted accurately and on time in accordance with exam board deadlines. Organise and manage the running of both mock and actual exam sessions, ensuring compliance with JCQ and Ofqual regulations. Arrange timetables for examinations, including seating plans and invigilator allocation. Coordinate with subject leaders and SLT to ensure a smooth examination process.
Invigilation & Exam Day Management
Recruit, train, and manage a team of invigilators to ensure JCQ compliance. Oversee the invigilation process, ensuring exams are conducted in a fair and orderly manner. Prepare and distribute examination materials, including papers, registers, and seating plans. Address and report any examination irregularities or malpractice to the relevant authorities.
Results & Certification
Organise and oversee the distribution of results on results day, ensuring students receive accurate and timely information. Archive exam results and ensure secure record-keeping of all relevant documentation. Provide statistical analysis and data reports to the SLT for performance tracking and improvement planning. Liaise with exam boards regarding queries, appeals, and re-mark requests.
Finance & Invoicing
Invoice parents for examination fees, ensuring timely and accurate billing. Work closely with the accounts department to track and collect exam-related fees. Monitor exam-related expenditures and ensure effective budget management.
Regulatory Compliance & Communication
Stay up to date with all exam board and Ofqual regulations, ensuring school-wide compliance. Communicate updates regarding exam policies and procedures to staff, students, and parents. Ensure access arrangements for students with special educational needs and disabilities (SEND) are in place and documented correctly.
Data & SLT Support
Support SLT with the input and analysis of student performance data. Assist with generating reports and insights to inform strategic decision-making. Maintain and manage the school’s Management Information System (SIMS), ensuring all exam-related data is accurately recorded and accessible. Collect, validate, and analyse assessment data to support tracking of student progress and attainment. Provide technical and administrative support for data-related projects linked to school improvement. Oversee the administration and management of GL Assessments, including Progress Tests (PTE, PTS, PTM), CAT4, NGRT, and PASS, ensuring timely data collection and reporting. Ensure that assessment results are effectively communicated to relevant stakeholders and used to drive student progress and intervention strategies.

Skills



Analytical/problem-solving aptitude Excel spread sheet experience IT literate, especially databases, data analysis, charting skills Ability to be pro-active and display initiative. Willingness to learn and acquire new skills. Organisational skills Ability to present information in appropriate formats according to audience and fit for purpose. Good interpersonal skills, both verbal and written Degree preferred but not essential
