Job Description

Black & Grey HR is an Events Management & Production company based in the Middle East. Our client is looking for an experienced Event Operations Administrator who is capable of managing multiple events at once, ensuring every step of the process is complete so events can be successful. 

Responsibilities:
- Event Management: Plan, organize, and execute multiple events concurrently, ensuring all logistics, resources, and timelines are meticulously coordinated.
- Production Supervision: Manage production staff, assign tasks, and oversee operations to maintain productivity and safety standards.
- Quality Assurance: Implement and maintain quality control measures, analyze production data, and address any quality issues promptly.
- Inventory and Resource Management: Monitor inventory levels, coordinate with purchasing for raw materials, and optimize resource allocation to minimize waste.
- Continuous Improvement: Identify opportunities for process enhancement, implement lean principles, and drive initiatives to increase productivity and reduce costs.
- Communication and Coordination: Collaborate with departments to resolve issues, maintain production schedules, and ensure seamless coordination across teams.
- Event Proposal and Planning: Develop comprehensive event proposals including venues, suppliers, budgets, and staffing requirements.
- Administrative Support: Manage administrative tasks, support event logistics, and assist with additional marketing initiatives as needed.
- Project Assistance: Provide administrative support for new project development and implementation under senior leadership guidance.
- Cross-Team Collaboration: Foster teamwork and support colleagues to ensure successful event execution and achievement of organizational goals.


Requirements- Min 3 years of experience in corporate marketing or event management.
- Demonstrated proficiency in project management, with a minimum of one year of experience utilizing CRM or event-management software to oversee a high volume of events successfully.
- Exceptional organizational and managerial abilities, ensuring seamless coordination and execution of complex projects.
- Strong interpersonal and communication skills, adept at engaging with diverse stakeholders including vendors, employees, and C-suite executives.
- Ability to maintain composure under pressure, making timely decisions while managing multiple concurrent projects and competing priorities.
- Self-motivated and proactive, capable of working autonomously or collaboratively within a team environment; experience with remote work is advantageous.
- Proficient in Microsoft Office suite, leveraging advanced tools to streamline workflows and enhance productivity.
- Willingness and availability to travel occasionally for events (1-2 events annually), demonstrating flexibility and commitment to achieving organizational objectives.
