Business Need / Purpose of Role


The Operations Executive – Government Services reporting to the Operations Manager, based out Dubai, UAE shall be part of a high-performing team and responsible to support the delivery of existing and future government contracts. You are a subject matter expert for operational matters, an excellent communicator, and a key facilitator for the multiple interactions between our internal and external stakeholders across the globe.


You are expected to contribute to the growth of the Government Services Sector by creating opportunities for operational improvement and sharing best practices across our multiple offices. 


Objectives & Measurement – Key Responsibilities:


Service Delivery


  • Ensure service delivery is provided to the highest standard by continuously challenging the status quo, being proactive, and driving change where relevant.
  • Ability to react at any given time with highly positive approach, attitude, cooperate, teamwork and able to work round the clock / after office hours   to meet the operational assignments. 
  • Ability to work under different time zones to communicate with client / vendors during port visits.
  • Ability to physically attend vessels and manage the operations in different ports for government related contracts.
  • Ability to communicate efficiently and timely with customer, vendors, ISS locations and departments. 
  • Identify opportunities that contribute to cost reduction and minimizes expenses without compromising on quality of service. It is important that cost savings are recorded and brought to attention of the management.
  • Vessel file –Maintain vessel files hard and soft copies in line with company policy.    
  • Report and handle timely all complaints in accordance with ISS procedures.
  • Synchronize SOP as and when any change occurs.
  • Procurement of material – should be able to understand the requirement of client  to source the material from potential reliable vendor.
  • Maintain the vendor database always updated in line with company policy and due diligence be conducted while selecting a new vendor. Assessment of vendors to ensure the quality of service.
  • Validate all delivery note and final invoices from vendors to process the same for payment and all short falls be reported to line manager. All validated delivery note along with final invoices should be sent to finance team.
  • Act on escalated matters that require an immediate response and engage in conversation with customers to address any issues or concerns.

Knowledge, Skills, and Abilities:


  • Competent user of the Microsoft Office suite including Outlook, Excel, and Word.
  • Being able to communicate verbally/writing in a clear and concise manner.
  • Balance multiple tasks, changing priorities & operate within a deadline-oriented environment.
  • Good interpersonal relationship in managing people/sub-ordinates, planning, organizing. 
  • Excellent attention to minute details.
  • Self-driven, organized, and excellent coordination skills.
  • Strong Problem Solving & Analytical Skills. 

Education and Qualifications:


Education/Experience


  • 3-5 years’ experience in general maritime industry (mostly vessel operations) with exposure to various commodities and vessel types utilized in the port of employment.
  • Exposure to cargo and crew handling activities.
  • Ground Logistics operations.
  • Familiar with RFQ/ RFI process to deal with vendors.
  • Balance multiple tasks, changing priorities & operate within a deadline-oriented environment.
  • Bachelor Degree is preferred – Maritime Institutions or Academies degrees would be ideal.
