Document Management: Maintain and organize all project-related documents, ensuring accurate filing, tracking, and retrieval of records using Aconex.
Data Entry & Updating: Input and update data into the Aconex system, tracking document status, version control, and project workflows.
Quality Control: Review documents for completeness, accuracy, and compliance with established company and industry standards.
Coordination & Communication: Coordinate with project teams, consultants, contractors, and clients to manage document submissions, updates, and approvals.
Access Control: Set up access controls in Aconex to ensure document security, allowing only authorized personnel to access sensitive information.
Documentation Training & Support: Provide training and support to project team members on document control procedures and Aconex functionalities.
Reporting: Generate regular reports on document status, updates, and outstanding approvals, ensuring management is informed of documentation progress.
Compliance: Ensure all documents comply with GCC regulations and company protocols, supporting the project team in fulfilling legal and regulatory requirements.
KEY QUALIFICATIONS:
Minimum 4 years in a Document Controller role within the design consultancy industry in the GCC region.
Proficiency in Aconex software is essential; experience with other document management systems is a plus.
Diploma or Bachelors degree in Business Administration, Information Management, or a related field is preferred.
Excellent attention to detail, with strong organizational and analytical skills.
Strong written and verbal communication skills in English.
Ability to work effectively in a fast-paced environment and manage multiple project documents concurrently.
