Job Description
Overall responsibilities:
- Assist in various project main contracts, subcontracts and PO terms, and perform the scope of work as defined for the role and provide day to day assistance to Head of Projects and functionally coordinate with Contracts Manager.
- Manage and ensure all pre-and post-subcontract administration, documentation, including insurances, bonds, claims, and variation notices. Assists the Project Managers in preparation of Claim/ EOT/ Variation notices and cost particulars.
- Draft letters for claims and time extensions, timely submission of variation and claim notices to reserve the contractual rights with the Client.
Day to day responsibilities:
- As per procedures and processes established by Head of Projects, Contract Manager, coordinate and compile the documents received from Proposals & Estimation, Sales, Procurement and Project execution teams for LOA/LOI/Subcontract preparation and when required participate in negotiations meetings.
- Liaise with subcontractors for execution of LOA/LOI/Subcontracts.
- Ensure the high quality of documentation is conducted on time and take responsibility and maintain confidentiality.
- Responsible for raising the bonds and insurance documents as required by the main contract and follow up with Finance Department.
- Maintain bonds and insurance registers, prepare draft notices to the client for submission and release of bonds.
- For subcontractors, maintain bonds and insurance registers and prepare documents for necessary amendments of release of bonds; and ensure that subcontractors bonds and insurance are in line with the Contract and subcontract requirements.
- Maintain the registers of main contract and subcontract timelines and follow up with the project execution teams for necessary notices to be submitted for EOT likewise the notice of delays to the subcontractors.
- Review requests for variations and EOT’s from the subcontractors and make contractual recommendations for further approval process.
- Draft letters related to claims and time extension, variation orders, completion certificates etc.
- Work closely with Project Managers/HOD’s, Planning team and Sr. Project Engineers in preparation of Claim/EOT/Variation notices and cost particulars.
- Maintain the registers of variations, cost claims and EOT of main contract and subcontracts.
- Endorse the subcontractor payment certificates upon compliance of the insurance and bond requirements.
- Prepare monthly reports in relation to the contracts.
- Attend main contract kick-off meetings. Arrange kick-off meeting with subcontractor and record minutes.
- Perform and attend any additional duties and responsibilities as assigned by Contracts Manager.
- As per established procedures, apply project insurances for plant, machinery, equipment, and vehicles as required by main contract and ensure that subcontractors also secure necessary insurances to mitigate the risks.
- Assist Head of Projects and Contracts Manager in development of procedures for Contracts, change management and perform document control tasks; and participate in audits as required.
- Train new fresh graduates and Emirati employees in the organization.
Qualifications
- Minimum Bachelor Degree in Engineering with (05-06 Years minimum) in the Oil & Gas industry. Affinity and familiar with Engineering, Procurement, Construction and Contracting aspects in the business, both onshore and offshore, power & utility sector.
Additional Information
Experience Requirements:
- Experience level: 05-06 years / 03 years or more experience in UAE or Middle East
- Experience with contracting company in oil & gas, power and infrastructure.
- Pre and post contract experience working for EPC, contracting or construction company.
Skills & Professional Requirements:
- Knowledge of pre-qualifications, qualifications for main contract during pre and post award of main contract
- Professional memberships such as ACIArb is preferred, and additional qualifications in construction contract law is desirable.
- Familiar and having good knowledge of FIDIC.
