We are looking for Commercial Assistant to be based in Dubai, UAE.
Job Description:
Provides admin support to ME Commercial Team.
Maintains commercial filing system.
Corporate Administration
Custodian of the ME Commercial Hub to ensure all documents are valid and updated.
Custodian of Commercial Calendar.
Licenses Administrator:
Keeps track of licenses expiry dates and prompts Commercial Operations Manager for renewal.
Provides support to staff for completion of licenses requirements, including liaising with engineers to complete the requirements for renewing their memberships with the Society of Engineers etc.
Manages communication with the Municipality for licenses changes.
Following up on documents that require attestations or translation and ensuring proper documentation and filing.
Contract Review Process:
Ensure all contract review information has been provided by the bid manager/director (table form to be populated),
Upload contract review requests to the Legal Service Request (LSR) Portal,
Populate and administer the Master Schedule for tracking all review requests (incl. any request changes/dates or follow-ups as required),
Return legal deviations (comments) back to the bid manager/director.
Contract Negotiation Process:
Forward Client comments to Legal to prepare response,
Return legal responses back to the bid manager/director (this process will repeat until terms are agreed).
Contract Execution Process:
Ensure all contract execution governance has been provided by the bid manager/director (checklist available),
Forward compliant documents to regional commercial lead for contract execution,
Follow up with Client(s) / AtkinsRealis Project Directors to obtain fully executed contracts,
Files signed contracts.
