Job Summary:


The CMS Specialist will play a critical role in the management and maintenance of the museum's Collections Management System (CMS), specifically EMu (Electronic Museum). This position requires a deep understanding of museum documentation practices, database management, and software systems. The CMS Specialist will be responsible for ensuring the accuracy, integrity, and security of the museum's digital collections data. Additionally, the role involves generating customized reports using Crystal Reports to support various museum functions.


Key Responsibilities:


  • EMu System Management:
    • Administer and maintain the EMu, ensuring optimal performance and accessibility for users across the museum.
    • Collaborate with the IT department to resolve technical issues and optimize the system's performance.
  • Data Management:
    • Oversee data entry and management within the EMu system, ensuring accuracy, consistency, and adherence to museum documentation standards.
    • Assist with data migration projects, including the import and export of data between different systems and formats.
    • Develop and implement data quality control procedures to ensure the reliability of the collections database.
  • Crystal Reports Development:
    • Design and generate customized reports using Crystal Reports to meet the needs of various museum departments, including curatorial, conservation, and management.
    • Collaborate with museum staff to understand reporting requirements and provide data insights to support decision-making processes.
    • Maintain and update existing Crystal Reports as needed, ensuring they reflect the latest data and meet current needs.
  • User Support and Training:
    • Provide training and technical support to museum staff on the use of the EMu system and Crystal Reports.
    • Develop user guides and documentation to assist staff in effectively utilizing the CMS and reporting tools.
    • Conduct regular workshops and refresher sessions to keep staff informed of updates and best practices.
  • Documentation Standards and Compliance:
    • Ensure that all data within the EMu system complies with national and international museum documentation standards, including relevant metadata schemas and cataloging rules.
    • Work closely with the Documentation and registration teams to develop and enforce standardized documentation procedures across the museum.
  • Project Management:
    • Participate in documentation and digitization projects, providing expertise in CMS configuration and data management.
    • Assist in the planning and testing of system upgrades, migrations, and integrations with other museum systems.

Qualifications:


  • Education:
    • Bachelor’s degree in Museum Studies, Information Science, Computer Science, or a related field.
  • Experience:
    • Proven experience working with EMu or similar Collections Management Systems in a museum or cultural heritage setting.
    • Strong proficiency in using Crystal Reports for data analysis and report generation.
    • Experience with database management, data migration, and system administration.
  • Skills:
    • In-depth understanding of museum documentation practices and standards, including knowledge of relevant metadata schemas.
    • Technical proficiency with EMu CMS, including registry configuration, data entry, and reporting functionalities.
    • Strong analytical and problem-solving skills, with the ability to troubleshoot technical issues and optimize system performance.
    • Excellent communication skills, both written and verbal, with the ability to train and support museum staff in using CMS and reporting tools.
    • Detail-oriented with a strong commitment to data accuracy and quality.

Additional Information:


  • The CMS Specialist will work closely with the IT department and all museums to ensure the effective management of the museum’s digital collections.
