About the department: UOWD has a dedicated Alumni Relations Office that works with the support of the University to extend the opportunities for graduates to engage with university life. The office promotes communication with and amongst alumni and supports the creation of networks and leadership groups to advance the interests of the UOWD student and graduate community.
The Careers & Alumni Administrative Assistant role will support the increased volume of daily administrative tasks within the Careers & Alumni department. This role will also assist in the coordination and execution of Careers & Alumni events, as well as help maintain alumni databases and support alumni engagement efforts.
Roles and Responsibilities:
Manage the Careers Services and alumni email inbox, respond to queries from students, alumni and employers in a timely manner.
Assist with posting job and internship opportunities on the student employment portal.
Provide support to employers during the student recruitment process, including job postings and communication with prospective candidates.
Assist students with inquiries related to career services, job applications and recruitment processes.
Support the Careers & Alumni team with departmental administrative needs as required.
Help manage and update alumni databases and ensure communication with alumni is effectively tracked.
Handle administrative tasks related to alumni engagement, including email correspondence, event invitations and follow-up communication.
Ensure smooth coordination of daily operations, including organizing documents and responding to general administrative tasks.
Eligibility Requirements:
Excellent communication skills (both written and verbal).
Strong organizational and multitasking abilities.
Proficient in Microsoft Office Suite and email management.
Ability to work both independently and collaboratively in a team environment.
Prior experience in an administrative or customer service role is preferred.
Understanding of career services or higher education administration is a plus.
Compensation and Benefits:
This is a temporary part time role with flexible hours.
Working hours - 6 hours per day, with flexible working hours to be coordinated with the department.
The contract will initially be for 3 months, with the potential for extension based on departmental needs and performance.
