We are looking for a detail-oriented and efficient Billing Specialist to join our operations team. This role plays a key part in ensuring accurate and timely billing based on operational data, shipment milestones, and agreed-upon customer terms. The ideal candidate brings a strong understanding of freight processes and a proactive approach to managing billing accuracy and customer satisfaction.
Detailed Responsibilities:
- Generate and validate invoices based on completed shipments across ocean and air as per set KPI.
- Collect and verify billing information from operational systems, including shipping documents, vendor invoices, and service milestones.
- Coordinate with operations teams to ensure all services rendered (e.g., freight, customs clearance, local charges, transportation etc) are accurately captured in billing.
- Apply correct rate sheets, tariffs, and customer-specific pricing agreements to invoicing.
- Monitor shipment files for billing readiness and proactively follow up on missing documentation or cost inputs.
- Address customers’ & internal queries or disputes related to operational billing, collaborating with relevant teams for resolution.
- Maintain accurate billing records and ensure proper documentation is filed per shipment.
- Support internal audits and assist in correcting billing errors or omissions.
- Contribute to improving billing workflows and identifying gaps in operational data that affect invoicing quality.
Qualifications and Characteristics:
- Experience handling billing for key accounts or large volume customers.
- Understanding of Incoterms and how they impact billing responsibilities.
- Basic knowledge of import/export regulations and local charges (e.g., port fees, demurrage, detention)
- 2+ years of experience in freight forwarding or logistics operations, preferably in a documentation or billing-related role.
- Strong knowledge of freight processes, including ocean and air.
- Familiarity with shipping documents such as BL, AWB, invoices, and customs paperwork.
- Experience using freight forwarding systems CargoWise and Tango.
- High attention to detail and accuracy, especially in data handling.
- Good organizational and time management skills to handle multiple billing cycles.
- Strong communication and teamwork skills to collaborate with operations, customer service, and sales teams.
