Job Description
We are looking to hire an experienced “Back-OfficeExecutive” to join our team.
As a “Back-OfficeExecutive”, you will be reporting to the Financial Manager and assisting with various administrative duties.
To ensure success as a “Back-OfficeExecutive”, you should have extensive experience in office management, the ability to work as part of a team, and the ability to respond quickly to requests from management. Ultimately, a top-class “Back-OfficeExecutive” works quickly and efficiently to provide reliable support for management and the front office team.
Responsibilities:
Sales Department:
- Making and editing proforma invoices
- Booking cars in E-Cars system – Chassis
- Creating sales invoice and receipt vouchers
- Maintaining monthly sales reports (Car Sales)
- Making Purchase orders manually
- Maintaining payment details for customers
- Coordinate with Logistics Team, to generate necessary documents related to sold units,
- Submitting Daily and weekly Report to Head office and book cars related to Orders,
- Sending customer details to Head Office to prepare the shipment
Logistics:
- Maintaining inventory/ stocks in E-Cars system, (Store & Logistics Management)
- Coordination for Cars Transfer Location
- Monitoring Master inventory (excel file)
- Getting shipping documents (Bill of Lading, Invoice, Packing List, COO) from the suppliers/ Freight
Finance & Accounting:
- Posting purchase invoice and expenses in E-Cars
- Support the Financial department with account reconciliations and other accounts related to Tradex France,
Admin:
- Admin support to higher management
- Ad-hoc duties
