Job Description
Office Management:
- Oversee daily office operations and ensure smooth workflow.
- Organize and maintain office filing systems (physical and electronic).
- Manage office supplies, ordering necessary items, and maintaining inventory.
- Coordinate maintenance and repair of office equipment.
Scheduling & Calendar Management:
- Schedule and coordinate meetings, appointments, and events for management and staff.
- Prepare meeting agendas, take minutes, and distribute to participants.
- Manage executive or department calendars, ensuring efficient time management.
Communication and Correspondence:
- Handle incoming calls, emails, and correspondence, directing them to the appropriate individuals or departments.
- Draft and proofread internal and external communication such as reports, letters, and presentations.
- Act as the point of contact for clients, vendors, and visitors.
Document Management:
- Prepare, review, and distribute documents and reports.
- Maintain accurate records and databases, ensuring confidentiality and proper filing.
- Assist with the preparation of presentations and reports for meetings.
