About The Role
Administrative Assistant leads the secretarial tasks required in the Retail Leasing team across Atlantis The Palm and Atlantis The Royal, including but is not limited to managing admin related activities required for new leases as well as ongoing lease renewals for existing tenants. This is a dynamic and fast paced role that requires a critical thinker and multi-tasker who works well in a collaborative environment but happy to take the lead on ensuring required activities are completed in a timely manner.
Key duties and responsibilities:
• Assisting in leasing administrative work, including managing lease documentation, notice to pay and other related formalities.
• Reviewing, approving, and coordinating work permits with relevant departments and communicating with tenants.
• Overseeing a leased unit from handover date to opening date, conducting periodic fit-out inspections to ensure adherence to approved schedule plans.
• Offering daily operational support to tenants, troubleshooting issues, and facilitating problem resolution.
• Collecting and preparing compliance document trackers for tenants, ensuring all documents and operational requirements are met.
• Establishing and maintaining strong business relationships with tenants to enhance collaboration and open potential opportunities for other assets.
• Building and updating a tenant database for easier and efficient communication.
• Following up on sales and performance data and other operational duties as required.
About You
We are looking for candidates with at least 2 years’ experience in retail, tenants’ relationship or sales related field. To succeed in this role you need to deliver consistent work results and demonstrate focus on constant operational improvement. You will use logic and systematic reasoning when approaching tenants related problems and be able to confidently and professionally communicate with all levels in the organization. You will be proficient with MS Office, email and phone etiquette and be comfortable working on multiple projects within a complex organization.
