Job Description
We are seeking a highly organized and proactive Admin Assistant/Receptionist to join our team. The ideal candidate will have experience handling travel arrangements, booking hotels, and managing properties. As the first point of contact for visitors and clients, you will play a crucial role in ensuring smooth office operations and effective communication.
Responsibilities:
- Reception & Front Desk:
- Greet and assist visitors in a professional and friendly manner.
- Manage incoming calls and emails, directing them to the appropriate team members.
- Schedule and manage appointments, meetings, and conference room bookings.
- Travel Arrangements:
- Plan and coordinate domestic and international travel, including flights, accommodations, and transportation.
- Research and book hotels, ensure travel itineraries are efficient and cost-effective.
- Assist with the preparation of travel documents, such as visas and itineraries.
- Property Management:
- Oversee the scheduling of property maintenance and repairs.
- Communicate with vendors and service providers to ensure the properties are in top condition.
- Maintain accurate property records, including lease agreements and maintenance logs.
- Administrative Support:
- Handle office supplies and inventory management.
- Assist with data entry, filing, and other clerical tasks as required.
- Support management with ad-hoc tasks and project coordination.
Requirements:
- Proven experience as an Admin Assistant, Receptionist, or similar role.
- Strong organizational skills and the ability to multitask.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Ability to manage travel logistics and property-related tasks.
- Familiarity with property management software (preferred but not required).
- A professional, friendly, and approachable demeanor.
Preferred Qualifications:
- Prior experience in travel coordination and hotel bookings.
- Knowledge of property management processes.
- Ability to work independently and as part of a team.
