About the job Admin Assistant (Real Estate/Property Development)

Our client is a commercial real estate and property development company that has recently launched operations in the UAE. The owners have successfully built and expanded multiple businesses within the industry, and they are now looking for a proactive and highly organized Administrator to support their growing operations. This role is crucial in ensuring seamless administrative processes and enabling the team to achieve outstanding results.


Key Responsibilities:

General Administration


  • Provide comprehensive administrative support, including scheduling meetings, managing communications, and handling documentation.
  • Assist in obtaining and maintaining company licenses and permits.
  • Coordinate office supplies, equipment, and inventory.
  • Manage phone, email, and in-person inquiries professionally.

Document Management


  • Prepare, organize, and maintain electronic and hard copy files for projects, contracts, and legal documents.
  • Ensure compliance with document control standards, keeping records accurate and up to date.

Finance & Reporting


  • Process invoices, expenses, and purchase orders while liaising with the finance team.
  • Support monthly financial and project status reporting by preparing reports and collating data.

Client & Stakeholder Coordination


  • Maintain client and vendor contact lists, providing administrative support for meetings and updates.
  • Organize client-facing meetings, presentations, and documentation with professionalism.

HR Support


  • Assist in onboarding new team members, coordinating training schedules, and maintaining HR files.
  • Handle basic HR queries to support smooth daily operations.
Qualifications & Skills Required:
  • Experience: 3-5 years in administrative roles, ideally in real estate, construction, or consultancy environments.
  • Tech Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with CRM tools and project management software is a plus.
  • Soft Skills: Exceptional organizational & multitasking abilities, strong attention to detail, and excellent communication skills.
  • Personal Attributes: Professional, proactive, customer service-oriented, and a strong team player.

Location: Dubai Marina
Work Hours: 9 hours/day, 5 days a week
Salary: AED 7,000 9,000 per month
