Maintasksand responsibilities:


  • CoordinateofficeandassistFrontDeskRepresentativesinwaysthatoptimizeprocedures



  • Sortanddistributecommunicationsinatimelymanner



  • CollectionandsubmissionofInvoices,preparationoflocal(transportationandaccommodation)expenses



  • Createandupdaterecordsensuringaccuracyandvalidityof information



  • Scheduleandplanmeetingsandappointmentsasnecessary



  • Monitorlevelofsuppliesandhandleshortages



  • Providegeneralsupporttovisitors



  • Coordinatecleaningandmaintenanceoftheoffice



  • Coordinateandcooperatewithotherdepartmentstoensurecompliancewithestablishedpolicies



  • Assistinmanagingaccommodationavailabilityandcoordinatingguestarrivalsanddepartureswhennecessary



  • Coordinateend-to-endprocessofoverseasbusinesstripswithTravelTeam,includingcompletevisadocumentation&application, travel insurance, accommodation, airport transfer, expense claims and any related items in a timely manner.



  • Coordinateend-to-endprocessofdomesticbusinesstrips



  • Assistsinallfieldactivitieslocally(visitingbanks,accountants,authoritiesetc.)



  • Providehelparrangingbothin-houseandexternalevents



  • Maintaintrustingrelationshipswithcolleagues,customersandsuppliers,aswithfacilityowners



  • Performfrontdesk/receptionistdutieswhenneeded


Required Competencies:


  • University Graduate
  • Fluency in English and Turkish language, verbal and written
  • Experience in Office Admin/Office Manager role or related field
  • Team oriented person
  • Very organized and pays attention to details
  • Proficiency in MS Office
  • Good in time management
  • Ready to learn new things and quick to adapt to changes in the company
  • Driver's license (B category)
