Job Description:


This is a 6-month project. WVSR will provide its own organizational curriculum for 24 Women led organizations (WLOs) based in both Türkiye and NWS. After 3 months of training, there will be a call for proposals. Following this, the selected WLOs will implement their projects over the next 3 month
 
The Project Assistant will work under the supervision will report to the project officer (charged under WVSR's other localization project), will be responsible to carry out administrative tasks to ensure the project can proceed according to plan. S/he will write reports, collect, record and analyse data, manage resources, create schedules, update documentation, and track progress toward milestones. S/he will have frequent site visits to the project locations to achieve their duties within deadlines.
 The post holders will work directly with WLO’s, staff to support the knowledge of the localization and the grants management purposes. S/he will monitor the level of participation, create an enabling environment for caregivers to share their concerns, support to maintain the operation of the project on track and report activity updates or challenges to the supervisor on a regular basis.
MAJOR RESPONCIBILITIES


Control of Equipment, Supplies and Resource Management


  • Establishes project trackers for consumables, project work plans, expenditure forecasts and others.
  • Ensure that there are adequate supplies of all items necessary for the smooth function of the education section.
  • Facilitate the purchase of section/office supplies and stationery.

  • Ensure that the specific stationery required for training or/and workshops is available for facilitator/trainer to collect.
  • Ensure that the lists of project supplies are regularly updated and receives appropriate follow up.
  • Ensure that equipment inventories are up to date and that replacement needs are highlighted

Assessment, Monitoring and Reporting


  • Support the Monitoring and Evaluation function in the Collection of relevant data from the WLO’s
    Project Implementation
     
  • Schedule and organize meetings with stakeholders, including drafting agendas, sending invitations, and taking comprehensive meeting minutes.
  • Assist with logistical arrangements for assessments, training sessions, and meetings, including venue booking, transportation arrangements, logistical preparation, pre-test and post-test, and managing attendance sheets.
  • Prepare procurement requests and track the status of procurements, ensuring timely delivery of goods and services required for capacity-building activities.
  • Help organize and manage the documentation process for all project activities, ensuring that all records are up-to-date, accessible, and properly archived.
  • Support the preparation and compilation of necessary documents for quarterly, semi-annual, and final project reports, ensuring accuracy and completeness.
  • Signing and documentation of Collaboration Agreements with CSOs.
  • Support the Capacity Building Officer in compiling and organizing documentation for project proposals submitted by CSOs, ensuring that all required attachments and forms are included.
  • Conduct regular field visits to CSOs, at least two visits per month per CSO, to monitor their progress against capacity-building plans, ensuring proper communication and support.
  • Work collaboratively with monitoring and evaluation (M&E) field staff to ensure that all M&E activities are implemented effectively, and report any issues or delays to the Capacity Building Officer.
  • Monitor the implementation of CSO-led proposals during field visits, maintaining a checklist of key deliverables and milestones, and ensuring timely reporting of progress.
  • Support the Rapid Capacity Assessment process by scheduling assessment sessions, sending invitations, and coordinating logistics.
  • Participate in developing tailored capacity-building plans based on the WORLD VISION’S ORGANIZATIONAL CAPACITY CURRICULUM curriculum, assisting in the preparation of training materials and resources.
  • Assist CSOs in understanding the requirements for proposal submission, providing clarification and support as needed throughout the application process.
  • Any other tasks assigned by the Capacity Building Officer to support the effective implementation and management of capacity-building activities.
    KNOWLEGDE/QUALIFICATIONS OF THE ROLE

Required Professional Experience


  • 1-2 years of work experience in the field and WLO’s and data collection.
  • Experience working with humanitarian agencies.
  • Knowledge and understanding of how to apply a systematic approach to localization project.
