The Practice Coordinator in our Istanbul office is responsible for a broad range of administrative and basic accounting duties. The ideal candidate will possess strong administrative skills, a positive attitude, take initiative, and be dependable.


This position will require presence in the office at least three days per week pursuant to the firm’s hybrid work policy. Overtime and flexibility in schedule is required from time to time.


Administrative responsibilities include but are not limited to:


  • Prepare and process new client/new matter forms, along with conflicts searches, preparation of engagement letters, and budgets.
  • Assist Partner-in-Charge (PIC) with email management.
  • Coordinate domestic and international travel arrangements with firm’s travel provider.
  • Maintain organization of client files, including electronic files in the firm’s document management system (iManage).
  • Maintain and update contact lists, create labels and coordinate mailings as directed.
  • Interact and follow-up with clients, outside counsel and others, as needed.
  • Assist with client event preparation and execution.
  • Collaborate with local IT team for Istanbul office IT needs.
  • Act as the phone operator for the Istanbul office: answer incoming calls, take messages for delivery and transfer and direct calls as needed.

Accounting responsibilities:


  • Manage Istanbul vehicle and parking payments, maintenance and tax payments, insurance policy payments.
  • Submit vendor invoices in expense management system (Chrome River). Create bank transactions for vendor invoices and process payments in SAP. Prepare tax invoices for all incoming client and other payments.
  • Manage month-end close by ensuring all bank activity is recorded in SAP and bank accounts are balanced.
  • Manage and track petty cash for Istanbul office. Record all activity in SAP.
  • Process payroll and social security payments.
  • Work closely with Turkish accountant regarding monthly activity, bank transactions and tax-related matters. Review quarterly and yearly tax returns for all partners and companies prepared by Turkish accountant. Enter and clear all income tax payments in SAP.
  • Manage cash flow by forecasting expenses and client payments. Manage budget and forecasting activities; provide reporting of actuals.
  • Manage time entry data for seconded employees to produce utilization reports as well as other reports to be used for other internal purposes such as compensation calculations.

Qualifications:


  • Minimum 2 years of experience performing basic office and clerical duties in a law firm or professional service organization
  • Fluent in Turkish and English
  • Proficient with Microsoft Office Suite
  • Experience with Excel including pivot tables, vlookups, interest calculations, present value calculations and other advanced formulas, preferred
  • Excellent organizational skills and high attention to detail
  • Strong communication skills, both written and verbal
  • Good analytical and problem-solving skills
  • Self-starter who is committed to the job, with flexibility to work overtime as needed
  • Exercises appropriate confidentiality and discretion at all times
  • Demonstrates accountability; takes ownership and pride in work
  • Ability to learn and understand basic firm principles
