Job Description

•  Responsible for managing the full lifecycle of the fleet and pool vehicles from the moment they are available for use until their return. This role focuses on the operational aspects, including vehicle handover, user support, maintenance coordination, and overseeing the return process.
• Handle the initial setup of newly available vehicles, ensuring all notary, insurance, registration processes are complete.
• Organize fuel cards and tollway tags for each vehicle.
• Oversee the handover of vehicles to users, ensuring all relevant documentation and instructions are provided.
• Provide ongoing support to vehicle users, addressing any issues related to regular maintenance, malfunctions, and repairs.
• Coordinate tire changes, roadside assistance, and schedule workshop appointments as needed.
• Serve as the primary contact for users during emergencies, including accident management, documentation, and liaising with insurance companies.
• Document and report any accidents or incidents involving fleet and pool vehicles.
• Work closely with insurance providers to ensure timely and accurate processing of claims.
• Manage the return process for vehicles at the end of their usage period.
• Conduct inspections of returned vehicles, document any damages, and coordinate necessary repairs.
• Ensure all return documentation is complete and accurate.
• Maintain up to date records of all vehicles, including registration, insurance, and maintenance logs.
• Prepare regular reports on fleet performance, including utilization, maintenance costs and
operational efficiency.
• Help to continuously improve processes and fleet management software.
• Coordinate external support staff members to get the various tasks accomplished. 



Qualifications

• Bachelor’s degree in business administration, logistics, supply chain Management or a related field preferred.
• Experience in fleet management or a related role with a focus on vehicle operations and user support.
• Familiarity with fleet management software and vehicle tracking systems.
• Fluent in English.
• Strong organizational and problemsolving skills.
• Excellent communication and interpersonal skills.
• Ability to manage multiple tasks and work under pressure.
• Knowledge of safety regulations and compliance standards.
